:The Coordinator supports the organization of the department by developing and maintaining systems, tracking and reporting data to ensure an efficient and safe operation of the department and company. The Coordinator works with the team as an active participant in achieving artistic goals, ensuring consistent quality, sharing knowledge with the team, leading and supporting production and operation of events/shows while maintaining a positive attitude in the workplace, guaranteeing high standards in the delivery of all offerings and preserving production and execution values across the parks.The Job Scope includes:
Handles, responds and processes incoming calls and correspondence
Drafts letters, e-mails, standard reports and presentations, many of which will be based on standard templates
Organizes meetings, briefings and department internal events including invitations, room bookings and catering requests
Takes and distributes meeting minutes
Raises purchase requests and subsequently follows up on approvals, delivery, payment and ensures closing of purchase orders
Handles any filing required in the department and ensures the necessary documents and records are updated
Processes various departmental forms including leave requests, expense reimbursements and business travel authorizations
Updates any regular trackers, excel sheets or reports
Updates any timekeeping/attendance records as required (not including actual scheduling and approvals of overtime)
Liaises with maintenance as needed
Handles and tracks cash requests and liaises with cash control in regards to cash issue and reconciliation
Coordinates with procurement to obtain quotes and keep department consumables in stock
Tracks performances/shows according to performance pay system
Assures passes are granted to suppliers working onsite
Requests maintenance work permits
Supports entertainment related corporate and seasonal events as requested by management
Types, files and distributes show reports as needed
Tracks and reports training records
Distributes communications to the department as required
Works as directed
To be considered for the role, you will need to have:Essential:
High secondary or equivalent
Minimum of 1 year experience in administrative work
Computer skills including Outlook, Microsoft Office, Oracle, time/attendance systems such as Kronos;
Proficiency in spoken and written English
Strong Administration skills, including meeting minutes taking and distributing
Desirable:
Certificate in administration courses and accounting
2 years of experience in administrative work in the entertainment industry
