Job Description

Job Purpose: Plan and execute the administration function in accordance with company regulations related to leave distribution and manpower resources deployment. To ensure optimum utilisation of resources to cover the 24 hrs shift operations whilst maintaining an effective quality service delivery, in adherence with the SOP.Job Outline:
  • Generic
  • Regularly provides operational information to Engineers, Third Party Airline customers/Technical representatives, Technicians/Mechanics regarding aircraft status and ground equipment through the use of e-mails landline phones or mobile phones.
  • Responsible for notifying internal and external third parties in respect to any operational requirements such as preparation for aircraft weighing, tow-ins and tow-outs, water/waste servicing, fuelling/de-fuelling.
  • Responsible for preparation of daily aircraft allocation sheets both EK and third party aircraft on which Base maintenance operations are based, highlighting specialist technical support requirements. Arranges for any additional requirements such as overtime outside normal office hours. Arranges and facilitates team deployment for any AOG (Aircraft on Ground) aircraft event.
  • Provides logistic support through the control/distribution of ramp vehicles, laptops and mobile phones to the Licenced Aircraft Engineers (LAE's). Has to frequently liaise with DNATA/Facilities/GSE for ground equipment supplies. Ensures that the planned maintenance for any vehicles is maintained.
  • Responsible for the updates and fault reporting of all IT equipment or items such as cameras and mobile phones.
  • Coordinates any Lost and Found items with the EK Terminal team.
  • Base Heavy Maintenance
  • Maintain departmental records including rosters, leave, sick leave, training, overtime, induction, allocation of lockers, attendance and daily allocation of hangars for staff of all trades in BHM, including certifying staff. Updates ETHOS / SPX system. In addition, produce and provide reports (i.e. leave) to the Manager Base Heavy Maintenance management as requested for.
- Support the processing and record keeping of all GCAA and Compliance Monitoring applications and documents. Keep records of Licensed Aircraft Engineer approvals up to date in the system. - Support, action and follow up on all electronic records including IT Service requests (ITSR), Request For Purchase (RFP), and purchase requests. Support the P2P process where delegated by BHM management.
  • Maintain the database on the departments assets and inventory ensuring that the same is kept current, with additions, write-offs, transfer of equipment between cost centres/ location promptly fed-in. Conduct an asset verification exercise bi-annually and draw attention to Admin Officer on any areas of concerns to ensure our asset inventory is accurate.
  • Coordinate with Engineering Projects administrative and logistical tasks, in order to support the Aircraft Acceptance Plan, Projects supported by BHM and Duty Travel needs for BHM staff.
  • Base Operations
  • Support programmes, such as the Residual Disinsection programme on the EK passenger fleet including the on-time notification to the Australian and New Zealand authorities, by monitoring of tooling and consumables and ensuring deployment of the 3rd party pest control provider/ Mini Deep Cleans on Base Ops aircraft / Dry washing on EK aircraft / Aircraft Recovery Team deployment / delivered engine loading and offloading.
  • Responsible for planning and monitoring activities related to Base Ops owned aircraft such as arrivals, weighing preparation, pre-service checks, freighter main deck palletised stand loading/offloading, offloading of flight catering, HOLD item/component processing, dnata aircraft appearance/technical cleaning, hangar preparation, tool equipment and logistics management, liaising with Fleet Team Management and MCC regarding NTC (Notice to Crew) validity/Engineering Work Instructions (EWI)/Maintenance Control Requests (MCRs)/Media Loads/Engine Borescope reports.
  • Line Maintenance: Front office
  • Regularly co-ordinates with Third Party Airlines/Operators with regard to standard maintenance support as well as special requirements for AOG or delay situations as well as unscheduled events i.e. fuel spills, etc.
  • Control and administer Medical Transportation (MEDIF) process for EK flights.
  • Support the duty officer for ad-hoc duty travel / flying duty requirements.
  • Line Maintenance: Troubleshooting Cell
  • Publish daily operational reports reports for senior management review , including but not limited to CAT A DD list, repeat defects, Repeat MEL?s, A380 CLASS 4 defects, B777 fuel tank units, A380 OHDS defect report, HYD uplifts, etc.
  • Manage the SCS system across the A380 fleet and plan for the spares and rectification of defects. Liaise with vendors to find the best solution to recurring defects.
  • Coordinate with material support for spares requirement for the MCR?s across both fleets.
  • Manage the TSC roster to ensure that adequate cover is available for the TSC Cell.
  • Maintenance Control Centre (MCC)
- Monitor Tech log debrief messages and update Minimum Equipment List Deferred Defects (MEL DD) status continuously in Engineering Integrated Reporting & Info System (EIRIS) on 24 hour basis. Monitor all Delay reports & ESRs\' received from outstations - process and distribute accordingly.
  • Ensure all documents and report are kept ready for Maintenance Control Duty Manager (MCDM) perusal in a timely manner. Update Daily Delay/ Deferred Defect (DD) graph as appropriate.
  • Incorporate revisions to engineering technical documentation in Compliance Monitoring (CM) controlled manuals.
  • Maintain and update laptops/ Aircraft On Ground (AOG) bags and various MCC documents /files like outstation rosters/contact details. Provide logistical support (office administration, filing systems, archiving data etc.)
  • Support any AOG situation by liaising and coordinating with the concerned internal and external stakeholders to arrange deployment of the Rapid response Unit (RRU) team as efficiently and quickly as possible.
Qualifications & Experience: Engineering.Other :12 Years schooling or equivalent :Experience 4+ yrs in Engineering, Compliance MonitoringKnowledge/skills:
  • Should be proficient on MS packages and company systems (TER/ROS) & Resource Management Systems.
  • Thorough knowledge of Base Maintenance activities. Must have the ability to quickly grasp the impact of every situation and take very quick action.
