Position Overview



We are seeking a proactive and highly organized Engineering Assistant Coordinator to support the company's managing executive and the wider office. In this role, you will function as an extension of the executive, handling day to day communications, scheduling, administrative tasks, office coordination, and customer communication. The ideal candidate has excellent verbal and written English communication skills, strong attention to detail, and the ability to multitask effectively.

Key Responsibilities



1. Work closely with the executive to anticipate needs and act as their "double" when required.

2. Communication Management

3. Respond to emails, phone calls, and other correspondence.

4. Scheduling & Calendar Coordination

5. Schedule appointments, meetings, and travel arrangements.

6. Send timely reminders and ensure the executive is fully prepared.

7. Draft, edit, and format reports, presentations, and other documentation.

8. Maintain organized filing systems (both digital and physical).

9. Track and follow up on pending tasks, deadlines, and project milestones.

10. Keep records, and essential documents current.

11. Relay key information to the executive and follow through with next steps.

12. Research topics, compile information, and present findings as needed.

Working Hours:



Some flexibility may be required for time sensitive tasks.

1. Monday 10 AM - 3 PM: Work from Home, 7 PM - 10 PM: In the Office.

2. Tuesday 10 AM - 7 PM: In the Office

3. Wednesday 10 AM - 7 PM: In the Office

4. Thursday: Off day

5. Friday: 10 AM - 7 PM: In the Office

6. Saturday 1 PM - 10 PM: In the Office

7. Sunday 1 PM - 10 PM: In the Office

Qualifications



Previous experience in engineering, office coordinator, personal assistant, customer service, or project coordinator roles is preferred.

Bachelor's degree is a plus but not mandatory; relevant experience is highly valued.

Excellent verbal and written English communication skills (required).

Strong organizational and multitasking abilities.

Proficiency in Microsoft Office (Word, Excel, PowerPoint) and common email/calendar tools.

Ability to handle confidential information with discretion.

Detail-oriented, proactive, adaptable, and able to work independently while following instructions.

Salary:

3,000 dirhams per month, reviewed annually.

Transportation:

Provided from specific areas in Ajman to the workplace.

Paid Vacation:

One month Annual Vacation + Tickets: Paid leave each year plus travel tickets.

Visa & Health Insurance:

UAE visa sponsorship and health insurance provided.

Work Environment:

Combination of on-site hours in Ajman and remote work on Mondays.
