Job Overview


The Executive Assistant to the Group CEO will provide high-level administrative support, ensuring the efficient operation of the CEO's office. This role requires exceptional organizational skills, discretion, and the ability to handle complex and confidential information. The ideal candidate will be proactive, adaptable, and capable of managing multiple priorities in a fast-paced environment.





Key Responsibilities


Administrative Support:


• Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare and organize meeting materials, agendas, and minutes.
• Screen and manage incoming communications, including emails, phone calls, and correspondence.
• Maintain and organize confidential files and records.
Project Management:


• Assist in the planning and execution of special projects and initiatives.
• Coordinate cross-departmental activities to ensure project deadlines are met.
• Prepare reports, presentations, and other documents as required.
Communication & Liaison:


• Serve as the primary point of contact between the CEO and internal/external stakeholders.
• Facilitate communication within the executive team and across departments.
• Represent the CEO in meetings and events when necessary.
Research & Analysis:


• Conduct research on industry trends, market conditions, and competitor activities.
• Compile and analyze data to support decision-making processes.
• Prepare briefing materials and summaries for the CEO.
Office Management:


• Ensure the CEO's office operates smoothly and efficiently.
• Manage office supplies, equipment, and maintenance.
Oversee the coordination of company events and functions.










Qualifications


Education & Experience:


• Bachelor's degree in Business Administration, Communications, or related field.

• Minimum of 5 years of experience as an Executive Assistant or in a similar role.

• Experience in the outdoor media & signage industry is highly desirable.

Skills:


• Exceptional organizational and time-management skills.

• Strong written and verbal communication skills.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

• Ability to handle sensitive information with discretion and confidentiality.

• Strong problem-solving skills and attention to detail.

• Ability to work independently and as part of a team.

Working Conditions
