We are seeking a highly organized, proactive and professional Executive Assistant to support our CEO in overseeing and managing daily operations, strategic initiatives and high-level projects. The ideal candidate will be a driven and detail-oriented female professional with experience in executive support, preferably within a fast-paced corporate environment.

Key Responsibilities:

1. Calendar Management

a) Organize and maintain the CEO's daily, weekly and monthly schedule.

b) Coordinate meetings, prioritizing based on strategic importance.

c) Remind CEO of important deadlines and engagements.

2. Email and Communication Management

a) Screen and prioritize incoming emails and communications.

b) Draft and respond to routine emails on behalf of the CEO.

c) Maintain timely follow-ups on delegated tasks.

3. Document Preparation and Reporting

a) Prepare reports, presentations and briefing materials for meetings.

b) Review documents for clarity, format and accuracy.

c) Ensure CEO receives documents at least 24 hours before key meetings.

4. Meeting Management and Minutes

a) Set up and coordinate virtual meetings with key stakeholders.

b) Take minutes and prepare action items.

c) Distribute minutes and action items within 24 hours post-meeting.

5. Travel Coordination and Logistics

Manage and arrange the CEO's travel plans, including booking flights, accommodations and transport.

6. Stakeholder Engagement and Liaison

Coordinate meetings and follow-ups with partners, clients, and internal teams.

7. Project and Task Management

a) Track ongoing projects and provide status updates to the CEO.

b) Monitor deadlines and flag potential delays or issues.

8. Confidentiality and Compliance

a) Ensure strict confidentiality of sensitive information.

b) Adhere to company policies and UAE regulations on data privacy and business conduct.

9. Performance Review

a) Attend bi-weekly or monthly review sessions with the CEO.

b) Identify and implement strategies for personal efficiency improvements.

Qualifications:

• Bachelor's degree in Business Administration or Finance or Engineering (preferred).
• 6-7 years of proven experience in a similar executive assistant role, ideally supporting C-level executives.
• Strong organizational, time management, and communication skills.
• High level of proficiency in MS Office Suite (Excel, PowerPoint, Word) and digital collaboration tools.
• Bilingual in Arabic and English, with a strong command of both languages.
