Key Responsibilities
• Document Management
• Organize, update, and maintain financial documents, including invoices, contracts, purchase orders, financial reports, and audit files.
• Implement and maintain document control procedures to ensure timely retrieval and secure access to records.
• Ensure proper version control and archiving of all documents.
• Compliance and Accuracy
• Monitor documents for completeness, accuracy, and adherence to company standards and regulatory guidelines.
• Ensure all financial documents are compliant with relevant laws, audit requirements, and company policies.
• Support the Finance team in preparing documents for internal and external audits.
• Records Coordination
• Develop and manage a document filing and retrieval system (physical and digital).
• Track document approvals, updates, and revisions within the department.
• Support regular financial reporting by providing accurate and up-to-date documents.
• Collaboration and Communication
• Act as a liaison between the Finance department and other teams to distribute, share, and manage documents.
• Coordinate with external stakeholders (e.g., vendors, auditors) to collect and provide necessary documentation.
• Train team members on document control procedures and systems, as needed.
• Systems Management
• Utilize document management software and tools (e.g., SharePoint, ERP systems, or other financial tools).
• Continuously improve document control processes for better efficiency and accuracy.
• Confidentiality and Security
• Ensure all sensitive financial data is securely managed and access is limited to authorized personnel.
• Follow strict confidentiality protocols and data protection policies.
Qualifications :
• Education : Diploma or Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
• Experience :
• 1+ years of experience in document control, records management, or a similar role, preferably in a Finance environment.
• Prior experience with document management systems and finance-related software is an advantage.
• Skills :
• Strong organizational and time management skills.
• Excellent attention to detail and accuracy.
• Proficiency in Microsoft Office (Excel, Word, Outlook) and document control software.
• Familiarity with ERP systems (e.g., SAP, Oracle) is a plus.
• Strong communication and interpersonal skills.
