Responsibilities:Our newest opportunity is for a talented Document Controller to join our team, based in Dubai, United Arab Emirates. You will be responsible for ensuring proper documentation management and control for all project-related documents, including contracts, drawings, reports, and correspondence. The ideal candidate should have significant experience in document control for large-scale projects within the Middle East, particularly for projects with a value exceeding AED 1 billion.We envisage success in this role to include;
  • Managing, organizing, and maintaining all project documentation, ensuring that it is accurately tracked and stored in accordance with project requirements.
  • Maintaining both electronic and hard copy filing systems, ensuring documents are easily accessible to the project team and stakeholders.
  • Controlling and managing the flow of documents, including contracts, correspondence, technical drawings, reports, and other related materials.
Developing and maintaining trackers and registers for all critical documents to ensure efficient tracking and easy retrieval.Monitoring and update registers regularly to ensure that all documents are processed in a timely manner.Ensuring that all changes to documents are recorded and that version control is strictly adhered to.Aconex Expertise:
  • Using Aconex as the primary document control platform for managing project documents.
  • Uploading categorizing, and distributing documents via Aconex, ensuring that all project stakeholders have access to the most current versions of documents.
  • Tracking the status of documents in Aconex, including approvals, comments, and revisions.
  • Coordinating with various departments, project teams, and stakeholders to ensure that documents are distributed and filed accurately.
  • Facilitating communication between project team members and external parties regarding document revisions, approvals, and deliveries.
  • Acting as the key liaison between the project management team and external contractors, consultants, and clients concerning document-related matters.
Ensuring that all project documentation related to contracts, subcontracts, and project management (PMC) processes is properly recorded, tracked, and managed.Working closely with the contracts team to ensure that all contractual documents are properly managed and stored, adhering to contractual requirements and deadlines.Supporting the project management team with document-related aspects of contract administration, including claims, correspondence, and change orders.Implementing document control procedures and systems to ensure compliance with project requirements, client specifications, and industry standards.Ensuring that documents are in proper format and meet the projects document control standards.Conducting regular audits of the document control system to ensure accuracy and completeness.Providing regular reports on the status of document control activities, including document submissions, approvals, and pending actions.Generating reports from Aconex and trackers to support project progress reviews and meetings.
