Assist in the management of documentation and records within the spare parts operations, including document generation, processing, distribution, and archiving.
Support the implementation and maintenance of document control processes and procedures to ensure compliance with regulatory requirements and operational standards.
Assist in receiving, reviewing, and processing documents such as purchase orders, invoices, shipping documents, technical specifications, and quality assurance records.
Contribute to the proper filing, storage, and retrieval of documents both electronically and in physical archives, adhering to established naming conventions and document classification systems.
Collaborate with internal teams, suppliers, and external partners to obtain and verify documentation, resolve discrepancies, and address document-related inquiries or issues.
Learn to monitor document revisions, updates, and approvals, maintaining version control and tracking changes to ensure document accuracy and integrity.
Participate in regular audits and quality checks of document control processes and systems to identify areas for improvement and ensure operational efficiency.
Receive training and guidance from senior document control professionals to develop skills in document management software/systems and best practices.
Contribute to maintaining accurate and accessible documentation, fostering collaboration among internal teams and external partners, and developing foundational skills in logistics, supply chain management, and document control.
