Document Management Specialist

: Oversee the creation, revision, approval, distribution, and archiving of documents.

Quality Assurance Coordinator

: Ensure documents comply with organizational standards, regulatory requirements, and industry best practices.

Information Gatekeeper

: Control access to sensitive or confidential documents and maintain data security.

Collaboration Facilitator

: Work with cross-functional teams to ensure timely document updates and approvals.

Document Control and Management

: Develop and maintain document control procedures, managing the lifecycle from creation to obsolescence, ensuring accurate filing, version control, and accessibility in the DMS. Archive outdated documents while maintaining historical records for reference.

Quality and Compliance Responsibilities

: Ensure all documents comply with organizational standards, regulatory requirements, and industry guidelines (e.g., ISO standards), and conduct regular audits to verify accuracy, completeness, and adherence. Assist in audit preparations and ensure consistent documentation practices across departments.

Administrative Support

: Assist in the preparation and formatting of documents, including technical drawings, contracts, and reports.

Reporting and Record-Keeping

: Generate reports on document status, approvals, and revisions as required. Maintain logs and registers for document transmittals, revisions, and approvals. Ensure proper record-keeping for legal, regulatory, and operational purposes.
