Job Overview:
The Document Controller will manage, control, and maintain project documentation in a contracting environment, ensuring accuracy, traceability, and accessibility of all project records. This role is crucial to ensuring that documents are filed, stored, and distributed according to company and project standards, facilitating efficient information sharing across project teams and stakeholders. The Document Controller will work closely with project managers, engineers, and other team members to ensure all documentation is current, complete, and compliant with regulatory requirements.
Key Responsibilities:
• Document Management:
• Organize, manage, and store all project documents, including contracts, drawings, reports, and correspondence.
• Establish and maintain a systematic document control system to track and retrieve documents efficiently.
• Ensure all documents are up-to-date, properly formatted, and comply with company standards.
• Document Control Processes:
• Implement and maintain document control procedures, ensuring consistency across all projects.
• Ensure that all incoming and outgoing documents are accurately logged, registered, and distributed to relevant team members.
• Control versions of documents and maintain a record of all revisions and changes.
• Project Support:
• Provide project teams with timely access to required documentation.
• Support project management with document organization, formatting, and record-keeping.
• Assist in preparing documentation for client submission and approval processes.
• Compliance & Quality Assurance:
• Ensure that all project documentation complies with client, company, and regulatory requirements.
• Conduct regular audits of documentation to ensure accuracy, completeness, and compliance.
• Prepare and maintain document transmittals, ensuring traceability of all communications.
• Coordination & Communication:
• Coordinate with project managers, engineers, and subcontractors to ensure timely submission and distribution of documentation.
• Act as the point of contact for document control issues, addressing and resolving any discrepancies.
• Facilitate effective communication and information sharing within the project team and with external stakeholders.
Qualifications & Requirements:
• Education: High school diploma or equivalent; a degree or diploma in Business Administration, Document Management, or a related field is a plus.
• Experience: Minimum of 2-4 years of experience as a Document Controller, preferably in the construction or contracting industry.
• Skills:
• Proficiency in document control software and Microsoft Office Suite.
• Strong organizational, record-keeping, and multitasking abilities.
• Excellent attention to detail and accuracy.
• Effective communication and teamwork skills.
• Other Requirements: Ability to work in a fast-paced environment and manage large volumes of documentation.
