Document Management:
• Receive, process, and maintain files and documents in accordance with established procedures.
• Ensure all documents are correctly labeled, indexed, and filed for easy retrieval.
• Maintain both hard copy and electronic document management systems.
• Create and update document templates and ensure consistency across all documentation.
Document Control:
• Manage the flow of documentation within the organization and ensure timely processing.
• Track document versions, revisions, and ensure proper version control.
• Review documents for completeness, accuracy, and compliance with company standards.
• Ensure that all documents comply with organizational policies and regulatory requirements.
Record Keeping:
• Maintain an organized filing system for both electronic and paper-based documents.
• Archive inactive records in accordance with company policies and legal requirements.
• Ensure confidentiality and security of sensitive documents.
Coordination and Communication:
• Coordinate with various departments to collect and disseminate information.
• Communicate effectively with team members to ensure understanding of document control procedures.
• Respond to internal and external document requests promptly and efficiently.
Quality Assurance:
• Conduct regular audits to ensure documents are correctly filed and maintained.
• Identify and rectify discrepancies in documentation.
• Implement continuous improvement initiatives to enhance document control processes.
Administrative Support:
• Provide administrative support to the document control team and other departments as needed.
• Assist in the preparation and distribution of reports, manuals, and other documents.
• Support the training of staff on document control procedures and systems.
Qualifications and Skills:
• High school diploma or equivalent; additional qualifications in document management or related fields are a plus.
• Proven experience in document control or a similar administrative role.
• Strong organizational skills and attention to detail.
• Proficiency in document management software and Microsoft Office Suite.
• Excellent communication and interpersonal skills.
• Ability to handle confidential information with discretion.
• Strong time management skills and the ability to prioritize tasks effectively.
