Job Description

The Dispatch Coordinator at a rent a car company is responsible for efficiently managing the deployment of vehicles and drivers to meet customer demands. This role requires excellent organizational skills, attention to detail, and the ability to work under pressure. The coordinator will interact with customers, drivers, and other staff to ensure timely and satisfactory service.

Key Responsibilities:

• Coordinate and schedule the deployment of rental vehicles to various locations based on customer reservations and demand.
• Monitor the status and location of all vehicles in real-time using GPS tracking systems.
• Ensure that vehicles are dispatched in a timely manner to meet customer pickup and delivery schedules.
• Handle customer inquiries and reservations efficiently.
• Resolve customer issues and complaints promptly and professionally.
• Provide customers with information about rental terms, vehicle availability, and additional services.
• Maintain an up-to-date inventory of available vehicles.
• Coordinate with the maintenance team to ensure vehicles are serviced and inspected regularly.
• Report and manage vehicle breakdowns, accidents, or other incidents.
• Assign drivers to specific routes and ensure they have all necessary information for their trips.
• Monitor driver performance and adherence to schedules.
• Ensure drivers comply with company policies and regulations, including safety standards.
• Maintain accurate records of vehicle dispatches, returns, and customer interactions.
• Prepare and submit daily, weekly, and monthly reports on fleet operations and performance metrics.
• Assist in the development and implementation of dispatch policies and procedures.
• Serve as the primary point of contact between the company, customers, and drivers.
• Communicate effectively with other departments, including sales, maintenance, and customer service, to ensure smooth operations.
• Use dispatch software and other communication tools to streamline operations.

Qualifications:

• High school diploma or equivalent; a bachelor's degree in logistics, business administration, or a related field is preferred.
• Minimum of 2 years of experience in dispatch, logistics, or fleet management, preferably in the car rental industry.
• Strong organizational and multitasking abilities.
• Excellent communication and customer service skills.
• Proficiency in dispatch software, GPS systems, and MS Office.
• Problem-solving skills and ability to work under pressure.
• Detail-oriented with a focus on accuracy.
• Ability to work independently and as part of a team.
• Flexibility to work in shifts, including weekends and holidays, as needed.
• Fast-paced office environment.
• May require occasional travel to different rental locations.
• Requires the ability to handle multiple tasks simultaneously and prioritize accordingly.

Job Type: Full-time

Pay: AED3,000.00 - AED3,500.00 per month
