Expertise / Occupational Qualification / Special Knowledge

- Bachelor's Degree in Architecture or Engineering

- At least 5 years of experience as a Design Coordinator, preferably with involvement in international projects (FIT OUT experience is a plus)

- Licensed Architect, LEED GA, PEM

- Proficient knowledge of AutoCAD and 3D Software such as Rhino and Revit

- Proficient Microsoft Office (Word, Excel, PowerPoint)

- Well-developed drafting skills

- Strong technical understanding

- Commercial understanding

- Adhering to regulations

- Fluent in English

- Meeting targets and deadlines

Task description :

ADMINISTRATION

Correspondence - to initiate, prepare and maintain all design / technical correspondence, with particular attention to ensuring that the proper notices are given in respect of variations, delays to the design.

Drawings - to receive and comment on the buildability and quality of the drawings prepared by the design team leader before issuing for approval externally. This includes the responsibility for setting up and maintaining a structured drawings register of the drawings issue dates, return dates, statuses, days late and comments upon relevant matters.

Technical Queries - to initiate technical queries to coincide with the start of the different areas of design as indicated by the design program and as required by the design team leader. This includes the responsibility for setting up and maintaining a structured technical queries register of the technical queries issue dates, return dates, statuses, days late and comments upon relevant matters.

Submissions - to receive and maintaining a structured submissions register of the submissions issue dates, return dates, statuses, days late and comments upon relevant matters, of all technical submittals.

Minutes of Meetings - to ensure that clear, accurate, notes are taken and distributed for every design meeting. These notes should be concise and record the decisions taken and actions to be undertaken and by whom.

Design Program - to understand the project design requirements and initiate the preparation of a project design program and procurement split. Once approved by the project manager, implement, monitor and take corrective action as necessary to ensure that the established key dates are achieved.

Variations and Entitlements - identify, give notice of, substantiate and assist the QS in the pursuit of agreement of variations and entitlements.

Tender Work - to assist with the preparation, development and establishment of a tender design financial plan for new projects.

Filing System - to take responsibility for and maintain the design files within the project filing system.

MANAGEMENT

Internal Design Meetings - to initiate with an agenda regular internal design meetings to in the pursuit of reviewing progress, stimulating the resolution of design problems, to establish corrective measures and direct the design team so that they are clear as to what their short and long term tasks are.

External Design Meetings - to initiate with an agenda regular external design meetings to in the pursuit of getting our submissions approved, following up responses to our technical queries, stimulating the resolution of design problems.

Testing - with support from the site manager, organize and undertake the receipt, installation, testing and disposal of the test mock-up.

Installation - once the installation starts the design coordinator will be responsible for taking and resolving design related installation problems. This will include formalizing any alternative details, gaining the necessary approvals and ordering the necessary materials.

Attitude - to be a reliable, disciplined member of the project team who keeps promised dates for providing information. To actively initiate and participate in problem awareness and problem solving, to positively co-operate, support the other members of the project team at all times.

Motivate - to creatively lead, support, and motivate the design team.

Education - to be competent in the use of patented computer software systems such as Microsoft Office and drafting software such as Auto cad

Project Organization - to gain advance approval of the Project Manager of all design correspondence, programs and expenditure.

Manage the activities of the Design Team including:

Managing allocated design resources.

Providing leadership.

Sensibly delegating responsibilities to team members.
