Key Responsibilities:
• Greeting and Welcoming Patients:
• Welcome patients with a warm and professional demeanor.
• Ensure patients feel comfortable and are informed of wait times.
• Appointment Scheduling:
• Manage patient appointment bookings and cancellations using the clinic's scheduling system.
• Confirm appointments via phone, email, or SMS as per clinic practice.
• Prioritize appointments based on urgency and doctor availability.
• Managing Patient Information:
• Collect personal details, medical histories, and insurance information from patients.
• Ensure that patient records are maintained with confidentiality and accuracy, complying with local privacy regulations.
• Communication with Patients:
• Answer phone calls, emails, and direct inquiries about services, doctors, and treatments.
• Inform patients of any necessary pre-treatment instructions or post-care guidelines.
• Processing Payments and Insurance:
• Handle payments and assist patients with billing inquiries.
• Verify insurance coverage and explain payment options, including co-pays and out-of-pocket expenses.
• Familiarity with insurance policies commonly used in the UAE, particularly for health coverage.
• Maintaining a Clean and Organized Reception Area:
• Ensure the reception and waiting areas are tidy and organized at all times.
• Provide assistance to patients in the waiting area, offering refreshments or reading materials as needed.
• Coordination with Medical Staff:
• Update medical staff on the arrival of patients and their relevant treatment details.
• Prepare patient records for dermatologists and assist with any requests from medical professionals.
• Document Management:
• Ensure that medical records, consent forms, and treatment plans are well-organized and updated.
• Handle administrative tasks like photocopying, filing, and ensuring that patient information is stored securely.
• General Office Tasks:
• Assist with the ordering of office supplies.
• Perform clerical tasks such as faxing, scanning, and data entry.
• ills and Qualifications:
• Language Proficiency:
• Fluency in English is essential, as it is the primary business language in the UAE.
• Arabic is also highly beneficial, as it helps in communicating with local patients.
• Knowledge of other languages (e.g., Hindi, Urdu, or Tagalog) is a plus, given the diverse expatriate community in Abu Dhabi.
• Experience:
• Prior experience in a medical or healthcare setting is often preferred, particularly in a dermatology clinic.
• Experience with office software, clinic management systems, and scheduling tools is important.

• Exceptional interpersonal skills and a friendly, professional demeanor.
• Ability to handle inquiries and issues calmly and efficiently, maintaining a positive patient experience.
