Ensure the highest level of customer satisfaction in a timely manner
Focus on efficiency and cost control on planning of Service jobs
Adhere to operations policies and procedures
Improve operational efficiency through forward planning
Usage of SMART Link to proactively plan and attend to customer break-down
Job Functions * Ensure that Service Engineers are given all the necessary information related to the service jobs like; customer details, site details, and time allowed to complete the job
Forward planning for up to 6 weeks in advance + PM schedule from COPS, Ensure the PM schedule is followed precisely, and all visits are done in a timely manner
All planning should be done in MAM2 and ensure that all job reports, and data of customer visits is entered in MAM2. Any missing job reports in MAM2 shall be reported to the respective Branch Service Manager.
Ensure that all contract service visits are completed in a timely manner
Coordinate with COPS the opening and closing of all jobs and ensure their follow ups
Follow-up with logistics to ensure the availability of required parts for service operations and receiving required parts for all jobs
Use ESKER for all jobs & book the related work order coasts on the same day, if required
Ensure that parts are ordered and received in advance for forward planning
Update the Field Service Engineers of their weekly schedule
Update customers regarding planned service jobs 24 hours prior to visit, arrange gate passes, safety training, etc. where required.
Ensure Field Service Engineers gets to the job sites on time
Ensure timely distribution of Service job Invoices to customers/collectors, conduct weekly follow ups after invoicing (within 12 hours) and maintain records of received Proof Of Delivery for follow up for any outstanding issues
Ensure daily updates of the Warranty Database (as soon as work orders are open) and closed 4 - 6 weeks after job completion and updating the service manager via email of any issues
Ensure all ECB jobs are closed prior to their expiration
Inform customers about the Customer Satisfactory Survey (Falcon)
Follow up with customers who have not responded to the Customer Satisfactory Survey
Ensure Falcon response increase rate and report detractors on the NCR system.
Ensure Smart box installations on machines that do not already have them
Ensure all labor hours are booked in SAP through MAM2, reconciling labor hours with planned hours and informing the respective Branch Service Manager of any discrepancies
Ensure that all completed jobs are closed within 24 hours
Ensure all cost/EPO related to the jobs are entered in DONE
Weekly review of WIP and informing the Branch Service Managers of any jobs with issues
Monthly review of WIP to maintain Zero jobs above 90 days and Zero PM Backlog
Reporting.
WIP Update (above 60. days weeks) with reasons for not closing (red flag problem work orders). Every 10th of the month.
Provide on a monthly basis a list of invoices/work orders, and labor time (with issues) that need to be resolved.
