: Contracts Manager - Facilities Management
Job Summary: The Contracts Manager for Facilities Management is responsible for overseeing the negotiation, execution, and management of contracts related to the facilities management function. This role ensures that all contracts are aligned with the organization's objectives, comply with legal and regulatory requirements, and are executed efficiently to maximize value. The Contracts Manager plays a critical role in managing vendor relationships, ensuring service levels, and mitigating risks associated with contracts.
Key Responsibilities:
• Contract Negotiation and Drafting:
• Lead the negotiation process with vendors and service providers to secure favorable terms.
• Draft, review, and revise contracts, ensuring clarity, accuracy, and compliance with organizational policies and legal standards.
• Collaborate with legal, procurement, and other relevant departments to ensure contract terms are comprehensive and enforceable.
• Contract Management:
• Maintain a comprehensive database of all contracts, tracking key dates, deliverables, and compliance requirements.
• Monitor contract performance, ensuring that all parties meet their obligations and service levels are maintained.
• Implement processes for contract renewals, amendments, and terminations in a timely manner.
• Vendor Management:
• Establish and maintain strong relationships with key vendors, ensuring open communication and effective collaboration.
• Evaluate vendor performance against contractual obligations and service level agreements (SLAs).
• Resolve disputes or issues with vendors in a professional and timely manner.
• Risk Management:
• Identify and mitigate potential risks associated with contracts, including financial, operational, and legal risks.
• Ensure that all contracts comply with relevant regulations, industry standards, and organizational policies.
• Implement best practices for contract management, including regular audits and risk assessments.
• Budget and Cost Management:
• Work closely with the finance department to manage budgets related to facilities management contracts.
• Analyze contract costs and identify opportunities for cost savings and efficiency improvements.
• Ensure that all contracts deliver value for money and contribute to the overall financial objectives of the organization.
• Compliance and Reporting:
• Ensure that all contracts are compliant with local, regional, and national regulations.
• Prepare and present regular reports on contract status, performance, and risks to senior management.
• Stay informed about changes in laws and regulations that may impact contracts and advise the organization accordingly.
• Team Leadership and Development:
• Lead and mentor a team of contract administrators, providing guidance and support as needed.
• Foster a culture of continuous improvement and professional development within the team.
• Encourage collaboration and knowledge sharing among team members to enhance overall contract management capabilities.
Qualifications:
• Education: Bachelor's degree in Business Administration, Law, or a related field. A Master's degree or professional certifications (e.g., Certified Professional Contract Manager (CPCM)) is preferred.
• Experience: Minimum of 4-76years of experience in contract management, preferably in the facilities management or real estate sector.
• Skills:
• Strong negotiation and communication skills.
• Excellent understanding of contract law and contract management principles.
• Proficient in contract management software and Microsoft Office Suite.
• Strong analytical and problem-solving abilities.
• Attention to detail and ability to manage multiple contracts simultaneously.
• Leadership skills with the ability to manage and develop a team.
Working Conditions:
• This role may require occasional travel to various sites for contract negotiation and management.
• The Contracts Manager typically works in an office environment but may need to visit facilities for inspections or meetings with vendors.
