Position Overview: Mersat Environmental Services is seeking a Contracts Executive Female to join our dynamic team. The Contracts Executive is responsible for managing and overseeing all contract-related activities while actively supporting the sales & Upselling process. This role involves negotiating contracts, ensuring compliance with legal standards, developing and maintaining client relationships, and driving sales growth through the acquisition of new clients, retaining existing customers and bringing new business opportunities from existing customers.
Key Responsibilities:
• 1\. Contracts Management:
Draft, review, and negotiate contracts with clients, ensuring all terms and conditions are clearly outlined and comply with legal requirements.
Ensure all contracts are aligned with company policies, protecting company interests and minimizing risks.
Maintain a comprehensive database of all active and historical contracts for easy retrieval and reference.
Coordinate with legal teams to address any legal concerns or disputes related to contracts.
Monitor contract performance and assist in contract renewals or extensions as needed.
Provide guidance and support to other departments (e.g., legal, finance, operations, technical etc.) to ensure contract compliance.
2\. Contract Review & Modifications:
Coordinate & report to contract managers to Review the draft contracts and approvals to share them with clients.
Review existing contracts and modify them as needed, especially for renewals, extensions or amendments.
Address and resolve any legal or contractual issues that may arise during the negotiation or execution phases.
3\. Client Relationship Management:
Building and maintaining client relationships.
Establish and maintain strong , long-term relationships with key clients to foster trust and ensure repeat business as well as new business opportunities
Act as primary point of contract for clients during their contract life cycle , addressing inquiries and concerns promptly.
4\. Client Retention :
Ensure that clients feel valued and understood, aiming for high levels of client retention.
Address any complaints or concerns raised by clients and work solutions that enhance the overall client experience.
5\. Sales and coordination :
Look for potential clients from existing businesses to upsell new services.
Conduct calls to prospective clients, introducing the company's services and generating interest.
Identify and generate new leads through cold calling , email outreach and marketing methods.
Qualify leads by asking relevant questions to determine If they align with the company's target market or service offerings.
Use a persuasive and consultative approach to understand client needs and present appropriate solutions.
Establish and maintain strong relationships with clients and prospects through regular follow-up calls, updates and check-ins.
Provide exceptional customer service by answering questions, addressing concerns, and offering solutions to client needs.
Follow scripts and framework, but also personalize approaches based on client conversations to drive conversions.
Provide input and guidance on contract structures, pricing and terms.
Drafting proposals and tenders for new business opportunities.
Once a sale is closed, assist in the onboarding process by ensuring all contractual terms are communicated clearly to the client.
Facilitate smooth transitions from sales to service delivery, ensuring clients are satisfied with the initial agreement
Proactively follow up with existing clients to ensure satisfaction and offer additional products or services that may benefit them (upselling or cross selling )
Track client feedback and assist in improving services or offering new contractual terms based on evolving client needs.
Work closely with the sales team to understand market needs and ensure contracts align with sales promises. Regularly report on sales and contract progress and metrics to seniors and management during tool box and review meetings.
6\. Reporting Frequency and Format:
Daily /Weekly/Monthly Sales Reports: These should provide insights into leads, sales pipeline, contracts closed, revenue, and client feedback.
Quarterly Contract and Sales Performance Review : A detailed report summarizing the achievements, challenges, and progress in both contract management and sales functions. This report could include in-depth analysis of trends, forecasting, and comparison to sales goals.
Annual Performance Review: A comprehensive review of the entire year's contract execution and sales performance, client acquisition/retention, and contract renewal trends.
Tracking existing and new sales performances.
Maintain Records of all activities, including calls made, leads generated, contracts signed, and closed sales & contracts.
Use CRM software to document interactions , track leads, and update client statues.
7\. Administrative Duties :
Ensure all contract renewals, new sales contract records and client communications are properly documented and stored in the company data base.
Ensure that all necessary information is included in contract files and is easily accessible for future references.
8\. Skills and Competencies:
Strong Communication skills : Clear and Concise Presentations: Ability to present complex contract terms or product offerings in an easily understandable way to clients and stakeholders.
Persuasion and Influence: Effectively persuade clients during contract negotiations and sales pitches, ensuring alignment with business goals.
Client Interaction: Clearly articulate solutions, address client concerns, and maintain professional dialogue throughout the sales and contract lifecycle.
Sales Expertise : Lead Generation & Relationship Building: Proactively identify and qualify potential clients, while fostering strong, long-term relationships through consistent communication and trust-building.
Sales Pitch & Presentation: Tailor persuasive sales pitches to client needs, delivering clear and compelling presentations that highlight the benefits of products/services.
Negotiation & Closing: Effectively negotiate terms and overcome objections to close deals, ensuring mutually beneficial agreements for both clients and the company.
Product Knowledge & Customization: Deeply understand the company's offerings and customize solutions to meet specific client requirements, increasing the likelihood of successful sales.
CRM & Sales Analytics: Utilize CRM tools to track leads, manage sales progress, and make data-driven decisions to optimize strategies, forecast sales, and meet targets.
Contractual knowledge : involves the ability to draft clear and legally sound contracts, ensuring compliance with relevant laws and regulations. It includes strong negotiation skills to secure favorable terms and the ability to identify and manage risks in contracts. Additionally, it requires overseeing contract administration to ensure proper execution, meeting deadlines, and addressing any issues or disputes that arise throughout the contract lifecycle.
Organization and time management are crucial skills for balancing multiple tasks and meeting deadlines efficiently. This involves prioritizing tasks based on importance and urgency, managing resources effectively, and staying organized to track progress. Strong time management allows for optimal use of working hours, ensuring that both short-term and long-term goals are met without compromising quality or productivity.
9\. Key objectives for success :
consistently meeting or exceeding sales targets by driving both new business and fostering existing client relationships.
Success also relies on effective contract management, ensuring that all agreements are accurately drafted, negotiated, and executed on time while adhering to legal and company standards.
Building strong, long-term client relationships and delivering exceptional service is essential for repeat business.
Continuous improvement in efficiency, staying updated with industry trends, and adapting strategies are critical for optimal performance. Additionally, providing accurate sales forecasts, identifying risks early, and collaborating seamlessly with internal teams (legal, finance, marketing) are vital to achieving overall success.
Support the companies over all revenue goals by generating new contracts and up-selling services to existing clients as well as potential clients by self leads.
