About the Role



We are seeking a

Conference Coordinator

to support the successful planning and execution of high-profile conferences and summits. This role requires strong organizational skills, excellent stakeholder management, and a commercial mindset. You will work closely with speakers, sponsors, vendors, and internal teams to ensure a seamless event experience while driving engagement and business opportunities.

Key Responsibilities



Speaker & Content Management



Identify, onboard, and manage speakers, panelists, and moderators. Coordinate speaker logistics, including travel, schedules, and presentation materials. Ensure speakers have a seamless experience from initial contact to post-event engagement.

Conference & Event Operations



Assist in planning and executing conferences, ensuring smooth logistics and attendee experience. Work with venues, vendors, and suppliers to manage event production, branding, and AV requirements. Oversee registrations, ticketing, and attendee communications. Support marketing efforts, including social media campaigns, website updates, and promotional materials.

Commercial & Sponsorship Coordination



Assist in identifying potential sponsors, partners, and exhibitors. Support outreach efforts and maintain sponsor/exhibitor relationships. Ensure deliverables for sponsors and partners are met pre-, during, and post-event. Track and manage budgets, invoices, and commercial agreements.

Post-Event Analysis & Reporting



Gather feedback from speakers, attendees, and sponsors for continuous improvement. Assist in creating post-event reports and debrief presentations. Maintain an updated database of contacts, potential leads, and performance metrics.

Requirements



2-3 years of experience in managing

conference.

Strong organizational and multitasking skills with keen attention to detail. Experience in

speaker management, onboarding, and coordination

. Basic understanding of event

sponsorships and commercial aspects

. Excellent communication and interpersonal skills. Proficiency in

MS Office (Excel, Word, PowerPoint) and event management tools

. Knowledge of

virtual/hybrid event platforms

.
Ability to travel and work flexible hours as needed.
