We are a boutique real estate brokerage from Canada, now launching in Dubai. With a proven track record and a commitment to excellence, we are looking for a dynamic and experienced Real Estate Talent Acquisition & Office Admin to join our growing team.

Position Overview:


As the Real Estate Talent Acquisition & Office Admin, you will play a crucial role in managing our CRM systems and supporting our compliance efforts, including adherence to recruitment and hiring laws in the UAE. If you have a minimum of 2 years of real estate experience, are detail-oriented, and thrive in a fast-paced environment, we want to hear from you!

Key Responsibilities:



Develop and implement effective recruitment strategies tailored to the real estate sector to ensure timely and efficient hiring. Utilize various recruitment tools and platforms to advertise job openings and reach a diverse pool of candidates. Handle the onboarding of new hires. Approve and update property listings in the CRM. Create new listings and update information based on agents' requests in CRMs (PFExpert and Bayut Profolio). Manage Property Finder Credits and listings on various property portals. Set listings for Featured & Premium on Property Finder, Hot & Signature on Bayut, and Refresh & Feature on Dubizzle. Ensure quality scores for listings are maintained and updated according to requirements. Obtain listing permits through Trakheesi and manage brokers' RERA cards. Create forms in the Dubai REST app (Contract A, Contract B, and F) and other necessary manual forms (Form I, NDA, LOI, etc.). Act as the primary point of contact for clients, offering strategic advice and ensuring smooth transactions across Dubai's real estate, retail, or business sectors. Build and maintain strong relationships with new and existing clients, fostering trust and ensuring repeat business. Conduct market research to stay informed about industry trends, competitor activity, and emerging opportunities. Assist clients with property enquiries, schedule and conduct viewings, and negotiate sales or rental agreements. Ensure compliance with Trakheesi system requirements for listings. Respond to inquiries from potential buyers and sellers via phone, email, WhatsApp, or website. Facilitate communication between sellers and buyers throughout the sales process for a smooth transaction. Collect essential documents and collaborate with Trustee office personnel for seamless transfer processes. Compile and organize documents from agents for completed rental and sale transactions. Ensure compliance with all relevant laws and regulations governing recruitment and hiring practices in the UAE. Identify and attract top talent through various channels, including job boards, social media, networking events, and referrals. Develop and implement effective recruitment strategies tailored to the real estate sector to ensure timely and efficient hiring. Handle the onboarding of new hires. Maintain employee records. Oversee and manage the CRM system (PFExpert) for Property Finder Credits, Listings, and Agents' Verification.

Training & Compliance Responsibilities:



Develop and enforce internal compliance policies to align with local laws. Design and implement training programs focused on compliance and internal policies.

Qualifications:



Bachelor's degree in Human Resources Management, Business Administration, or a related field. Proven experience as a Talent Acquisition Specialist or Recruiter, preferably within the real estate sector in the UAE. Minimum 2 years of experience in a real estate administrative role. Mandatory experience in real estate with previous experience in a similar role in Dubai. Proficiency in CRM systems (PFExpert, Bayut Profolio, Property Finder Manager, Dubizzle, etc.) is an asset Knowledge of Trakheesi and Dubai REST app is an asset Strong customer service or sales skills. Proficiency in using social media and staying updated with trends. Excellent organizational and analytical skills with attention to detail. High ethical standards and strong critical thinking abilities. Ability to work independently as well as collaboratively in a team environment.
