What the Hiring Manager Says


• The QC Dubai Office reports into the QC International CEO
• The team is primarily responsible for the promotion of QC's services to clients and intermediaries primarily in the UAE
• The individual fulfilling the role has the potential to take on additional administrative support responsibilities from other team members, covering a broad range of tasks, including assisting senior staff, client and intermediary interactions and internal reporting requirements, dependent upon their capabilities and the needs of the business.

• The QC Dubai Branch is a small team, currently consisting of three staff members (including the individual for which this replacement is sought). The Client Administrator supports the activities carried out from the office in a variety of areas, including interactions with staff across the business, suppliers, intermediaries and clients.
• The role allows the smooth operation of the Dubai branch, enabling the other team members to focus on their management, client relationship and business growth responsibilities.

Responsibilities:
• Personal assistant related support for two senior staff members, including:
+ Diary management
+ Expense and related compliance reporting
+ Travel
• Client and intermediary support, including:
+ Fielding and directing basic queries
+ Assisting with paperwork completion, collection and submission
+ Distribution of marketing materials
• Compliance submissions, including:
+ Client and intermediary related paperwork
+ Financial promotion sign-off
• General office management, including:
+ Stationary orders
+ Payment of invoices
+ Liaison with team members and suppliers - IT, insurance etc
• Events and marketing coordination
• Completion of business activity reporting
• Support for Head of Office on collation of materials, data etc to support reporting requirements
• Role reports into the Head of Office, with daily interactions and support responsibilities for second Dubai team member.
• This is an office based role

Regulatory Obligations




The individual must operate primarily from the DIFC office in Dubai in order to meet regulatory requirements.

• Experience in a similar hybrid administration role is required with previous PA responsibilities
• Ideally you will have experience from working in financial services (wealth management, asset management, private banking)
• Must be able to work independently and as part of a team
• Should be able to take on new tasks, find answers and learn within the role
• Confident manner, able to talk to staff of all levels, suppliers, intermediaries and clients
• Strong Microsoft Office skills to support in varied tasks
• Ability to identify efficiencies within current processes, offer greater levels of support to colleagues and generally take a proactive approach to the role
