We are seeking a
Civil Engineer (Administrative Role)
to join our dynamic team and support our operations across authority portals and project administration.
Key Responsibilities
Authority Portal Management:
Handle and process project submissions through Dubai Municipality (DM), Dubai Development Authority (DDA), Civil Engineering Department (CED), and other relevant authority portals.
Ensure all applications, permits, and approvals are submitted accurately and in compliance with local regulations.
Track and follow up on pending applications, renewals, and approvals to ensure timely processing.
Project Coordination:
Assist in the coordination of project deliverables between internal teams, clients, and external stakeholders.
Schedule and participate in project meetings, prepare agendas, and document minutes of meetings.
Monitor project milestones and ensure deliverables are aligned with established timelines and authority requirements.
Liaise with consultants, contractors, and authorities to ensure smooth communication and documentation flow.
Documentation Management:
Prepare, review, and maintain technical documents, project reports, and authority submission files.
Organize and manage digital and physical records, ensuring all project-related documents are up-to-date and easily accessible.
Ensure all technical drawings, project correspondence, and legal documentation comply with project guidelines and regulatory requirements.
Create and maintain detailed project logs for submission tracking, approvals, and project correspondence.
Administrative Support:
Provide administrative support to project managers, including preparing presentations, reports, and client communications.
Manage document submissions and coordinate with internal teams to collect and format necessary information.
Assist in the preparation of project status reports, progress summaries, and compliance checklists.
Compliance & Regulations:
Stay updated on the latest authority guidelines, regulations, and submission processes.
Ensure compliance with all legal and procedural requirements during the project lifecycle.
Identify and report any potential compliance risks or delays, and work with relevant teams to resolve them promptly.
Requirements
Education:
Bachelor's Degree in Civil Engineering (Mandatory)
Experience:
Minimum
2 years
of experience in a
consulting firm
in Dubai.
Technical Skills:
Proficiency in managing
DM, DDA, CED
, and other authority portals.
Strong understanding of UAE construction and submission regulations.
Ability to prepare and review technical drawings and documentation.
Availability:
Must be currently
based in Dubai
and available to join
immediately
