Role Purpose
Is responsible for managing and executing all protocol-related activities to ensure smooth interactions with dignitaries, foreign officials, and VIPs. This role involves event planning, adherence to diplomatic standards, effective liaison with high-level stakeholders to ensure the Authority is well equipped with the correct protocols to maintain its recognition and prominent reputation.
Key Responsibilities/Duties
1. Coordinate DCAA protocol activities as per the government policies. Ensure the progress of effective working relationships with government, stakeholders and other entities, to ensure the positive impact of DCAA public image.
2. Prepare protocol procedures for DCAA and ensure that the highest levels of customer service and protocol are maintained.
3. Handle DCAA protocol, PR and manage director general protocol aspects and plan for his visits, guests & DCAA protocol as well. Moreover, Meets and greets guests at official events and monitors events to ensure it follows proper protocol.
4. Escort DCAA VIP guests and DG in all his official visits and events.
5. Prepare high-level official letter addressed to government entities and ensure that all supporting documentation as per Government Entity presented.
6. Resolve protocol-related issues or conflicts that may arise during events or high-level meetings.
7. Collaborate with external partners, including caterers, transportation providers, and security teams, to ensure successful event execution.
8. Develop and maintain an up-to-date contact and mailing list of key contacts of government officials and follow up unacceptable delays in processing of high-level applications with the concerned Government authorities until timely completion of formalities.
9. Establish and maintain an excellent relationship with government authorities as well as Coordinate with the Public Relations Departments in other countries where DCAA has projects/delegations for any miscellaneous government related activities in a timely manner.
10. Manage all matters related to DG office when requested as well as Managing Senior official visit, coordination of movement and preparation of facilities as required.
11. Setting protocol rules, supervising and coordinating with the competent authorities to organize events.
12. Organizing tours of official delegations visiting the DCAA and securing all their needs in coordination with the competent authorities
13. Ensure compliance with non-disclosure and confidentiality agreements, as well as DCAA security policies, to safeguard both government and DCAA confidential information. Address and rectify any ISR audit findings, promptly report security incidents, and engage in ongoing security awareness training to prevent unauthorized access or disclosure.
14. Perform other job-related duties as may be assigned from time to time.
Qualifications
Academic Qualifications
• Bachelor's Degree, preferably in Communication, Public Relations, or Business Administration.
Certifications
• Protocol, Events, and Conferences Management
• International Relations & VIP Management
• Protocol Etiquette and Civility Course
Professional Experience
• At least (10) years' working experience in Events, and Protocol field.
