Act as the Chairman\'s right hand, anticipating and addressing scheduling conflicts to optimize the Chairman\'s time.
Provide comprehensive administrative support to the CEO, managing schedules, coordinating meetings, and handling correspondence.
Oversee the performance and professional development of team members supporting the front office, including Executive Assistants, Personal Assistants, and office staff, in various administrative capacities.
Ensure smooth execution of internal and external events, managing logistics and coordination.
Liaise with various internal support functions, such as HR, as needed to manage operational activities (e.g., hiring, etc.).
Serve as a liaison between the CEO and internal/external stakeholders, including board members, investors, and partners.
Develop and disseminate clear and concise communications on behalf of the CEO, including memos, presentations, and reports.
Work with the Corporate Leadership Committee on executing operational and process-oriented tasks and projects, taking ownership and driving them to completion.
Provide analytical support and insights to the CEO and executive team to facilitate data-driven decision-making.
Assist in managing special projects and initiatives directed by the Chairman, coordinating with various departments to ensure project timelines are met.
Oversee the Project Management Office (PMO) function to streamline project processes and ensure consistency.
Implement templates to support efficient project execution and delivery.
Provide oversight and guidance to project managers and teams, ensuring alignment with project objectives, timelines, and resource allocation.
Facilitate regular project reviews and status updates, monitoring progress against milestones, and identifying and addressing risks and issues.
Drive continuous improvement initiatives within the PMO, identifying opportunities to optimize project management practices and enhance organizational efficiency.
Collaborate with cross-functional teams to ensure alignment between project activities and organizational goals, priorities, and strategies.
Serve as a point of contact for project-related inquiries and escalations, providing guidance and support as needed to resolve issues and mitigate risks.
Prepare and present project-related reports and updates to the Chairman, highlighting key achievements, challenges, and recommendations for improvement.
Qualifications:
Minimum of 10 to 15 years of experience in a similar role within an organization of comparable size, directly supporting a CEO, Chairman, or Owner.
Experience in large corporations or family offices with direct reporting to the CEO or Chairman.
Currently overseeing Project Management Office (PMO) responsibilities.
Ability to work evenings and weekends when needed; young families could pose a challenge.
Exceptional communication skills, both written and verbal, enabling effective engagement with senior-level executives.
Excellent command of English, both written and verbal.
