proactive, hands-on
professional
to optimize business operations, coordinate key activities, and support leadership in execution. This role is
focused on operations
--enhancing workflows, solving inefficiencies, and ensuring teams work efficiently. Additionally, you will
support the CEO on business priorities and assist with key administrative tasks where necessary.
Main Responsibilities:
1. Business Operations & Process Coordination
Ensure smooth daily operations by coordinating and improving internal business processes.
Identify inefficiencies and propose improvements to increase efficiency and reduce manual work.
Research and recommend better software tools, automation solutions, and AI-powered processes for operational efficiency.
Document standard operating procedures (SOPs) to improve consistency across departments, ensuring teams follow best practices.
Track key performance metrics and provide insights for continuous process improvement.
Oversee relationships with key service providers, suppliers, and vendors to ensure smooth business operations.
2. Cross-Team Collaboration & Business Support
Act as a central coordination point, ensuring smooth execution of cross-department projects.
Support teams in managing internal workflows and resolving operational inefficiencies.
Maintain and update company policies, documentation and internal records, ensuring easy access to critical information.
Coordinate key business activities, such as scheduling company-wide meetings and supporting event logistics (including travel arrangements for staff).
Troubleshoot operational issues and propose practical solutions.
Assist in tracking operational budgets and expenses related to travel, office management, and process improvements.
3. CEO Support & High-Level Assistance
Assist the CEO with business execution tasks, ensuring projects move forward efficiently.
Act as a bridge between the CEO and teams to ensure effective execution of company priorities, ensuring business goals are converted into clear, actionable plans, ensuring alignment across teams.
Conduct research, prepare reports, and create presentations to support decision-making.
Support the CEO on high-level administrative tasks where necessary, such as coordinating schedules, managing key documents, and following up on key action points.
Occasionally handle confidential and strategic projects, assisting in planning and execution.
Qualifications and Experience:
Experience & Mindset
2+ years of experience in operations, business support and coordination role within a high-growth or fast-scaling company.
A track record of improving processes, implementing automation, and driving efficiency.
Experience working in dynamic, fast-scaling environments (startups, tech, or high-growth industries preferred).
Technical & Soft Skills
Strong problem-solving and analytical mindset--you love figuring out better ways to work.
Experience using automation tools, AI solutions, and project management software (like Asana, Notion, or Miro).
Great communication and leadership skills--you can keep teams aligned and focused.
Highly organized, adaptable, and able to prioritize in a high-growth environment.
Self-driven and able to work independently while thinking strategically.
