Job Summary: Our Partner is seeking a highly organized and detail-oriented Booking Coordinator to join the photography company. The Booking Coordinator will play a vital role in managing the booking process, coordinating photography sessions, and ensuring a smooth and enjoyable experience for the clients. The ideal candidate will have a passion for photography, excellent communication skills, and the ability to handle multiple tasks in a fast-paced environment. Responsibilities:
Respond promptly and professionally to client inquiries regarding photography services, pricing, availability, and package details.
Communicate with clients to understand their specific photography needs and preferences.
Provide clear and accurate information about the services, packages, and additional offerings.
Coordinate photography sessions and schedule appointments based on client preferences and photographer availability.
Maintain an organized system for managing bookings, including calendars, appointment confirmations, and reminders.
Ensure that all necessary details, such as location, time, and special requirements, are communicated effectively to both clients and photographers.
Collaborate with photographers to ensure their availability and readiness for scheduled sessions.
Coordinate the allocation of photography equipment, props, and any other resources required for each session.
Manage the logistics and availability of indoor and outdoor photography locations.
Provide exceptional customer service, ensuring a positive and enjoyable experience for the clients throughout the booking process.
Assist clients in selecting the most suitable photography packages and customize them according to their preferences.
Address any concerns or issues raised by clients promptly and professionally, seeking solutions to ensure client satisfaction.
Maintain accurate and up-to-date records of all bookings, client details, and session specifications.
Prepare contracts, invoices, and any other necessary documentation related to the booking process.
Ensure compliance with company policies and procedures, including obtaining necessary permissions and releases.
Identify opportunities for upselling additional services, such as prints, albums, or extended sessions.
Provide clients with information on additional products and offerings, promoting their value and benefits.
Collaborate with the sales team to support their efforts in generating leads and converting them into bookings.
Requirements:
High school diploma or equivalent. Additional education or certification in photography, event planning, or a related field is a plus.
Proven experience as a Booking Coordinator, Customer Service Representative, or similar role in the photography industry.
Excellent communication and interpersonal skills, with the ability to build rapport and maintain professional relationships with clients.
Strong organizational and multitasking abilities, with a keen eye for detail.
Knowledge and passion for photography, understanding different photography styles and requirements.
Proficiency in using booking software, scheduling tools, or CRM systems. Familiarity with photography editing software is a plus.
Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
