Responsibilities:Our newest opportunity is for a talented Bid Coordinator, to join our award-winning team based in Amman, Jordan.We envisage success in this role to include;
Covering the full procurement lifecycle, including expressions of interest (EOIs), prequalification questionnaires (PQQs), preparation of RFP responses (technical and commercial) as well as post-tender clarifications and presentations.
Devising draft bid programmes, coordinate inputs from subject matter experts and track progress against tasks.
Work collaboratively with technical colleagues as well as other members of our bid team.
Supporting bids and providing support in ad hoc tasks around general bidding best practice, including but not limited to, maintaining internal bidding and knowledge library, logging model responses and useful information; collaboration with graphic designers to support requirements for simple graphics; and supporting the leadership team to develop processes, tools and guides around bidding.
Reviewing requests for proposal (RFP) and other related documents and providing support in gathering proposal information to create winning responses.
Reviewing existing content and identifying if anything can be used/updated, preparing templates, CVs, case studies and chasing content contributors as required.
Coordinating the preparation of identified expression of interests, pre-qualification questionnaires, proposals and post tender clarifications.
Ensuring a winning, compliant, error-free document arrives with the client in the correct format, meeting the deadline for both online submissions and hard copies.
Preparation of non-technical content including company information, certificates, statutory declarations, insurances.
Formatting of proposal documents including tables, graphs, images and brand compliance.
Reviewing and editing of proposal documents including editing, grammar and spelling prior to being submitted.
Participating in team meetings, sharing lessons learned as inputs to the continuous improvement of the bidding process and tools.
Consistently updating internal bid trackers, including the latest status of all upcoming and ongoing bids.
Qualifications:To be successful in this dynamic opportunity, we envision that your career journey to date will include a minimum of 5 years' in bid preparation and similar career experience from within an engineering consultancy / architecture practice partnered with a Bachelors degree in marketing, Business, Communications or equivalent.
Excellent time management and organisational skillswith the ability to work under pressure to strict deadlines, prioritising tasks and coordinating others to ensure deadlines are met.
Experience and strong working knowledge of the whole proposals process.
Confident with reading client documents and identifying submission requirements.
Middle East bids experience (specifically UAE and KSA) preferred.
Advanced MS Office skills and fluency in Adobe CC (InDesign, Illustrator and Photoshop).
Strong attention to detail.
Excellent, verbal and written English skills, with the ability to effectively interact with different departments across the business.
Brand awareness / corporate identity; implement style guides, visuals and templates for high quality proposals.
