Job Purpose:
The Job Controller ensures efficient scheduling, coordination, and management of the workflow within the service center, enhancing productivity and minimizing vehicle downtime. The role is responsible for liaising between various teams (technicians, service advisors, and dispatch) to ensure the seamless progression of jobs through the service floor, while maintaining high standards of quality and customer satisfaction.
Key Responsibilities:
Work Allocation & Scheduling
Allocate jobs to technicians based on skill sets, availability, and service priority.
Monitor ongoing jobs to ensure timely progression and completion.
Coordinate with the Service Advisors team to align job schedules with customer expectations and requirements.
Progress Monitoring
Track the status of each job from diagnostics, quick lube, service, QC, and washing.
Ensure that each stage is completed efficiently and within specified timeframes.
Communicate delays or issues to Service Advisors for customer updates.
Coordination with Teams
Act as the key point of contact between technicians, Service Advisors, and the dispatch team to ensure proper workflow and job handover.
Work closely with the QC and washing teams to ensure vehicle readiness for customer handover or dispatch.
Parts and Equipment Coordination
Ensure that the required parts are available on time and that no delays occur due to parts unavailability.
Communicate with the Parts Department to track any special-order parts.
Quality Control and Handover
Ensure that all jobs meet the company's quality standards before vehicles are passed on to QC and dispatch.
Address any discrepancies or rework as required.
Customer Satisfaction
Liaise with Service Advisors to ensure that customers are informed about the status of their vehicles.
Address and escalate any customer complaints or delays that could affect satisfaction.
Documentation & Reporting
Maintain accurate job logs and status reports, ensuring that all work is documented and up to date.
Prepare daily/weekly/monthly reports on workshop productivity, job status, and key performance indicators (KPIs).
Workflow Optimization
Identify bottlenecks and inefficiencies in the service process and recommend solutions for improvement.
Assist in the development and implementation of processes that streamline service operations.
Health & Safety Compliance
Ensure that all jobs are carried out in adherence to company safety standards and procedures.
Promote a culture of safety on the service floor
Qualifications:
Education: High school diploma or equivalent. Technical background in automotive services preferred.
Experience
: Minimum 2-3 years of experience in a similar role in the automotive service industry.
Skills
:
Strong organizational and time-management abilities.
Excellent communication skills to coordinate across departments.
Proficient in workshop management systems and tools (e.g., Zoho, HRMS/HRIS).
Problem-solving mindset with attention to detail.
Ability to work under pressure in a fast-paced environment.
Strong customer service orientation
