ESSENTIAL DUTIES AND RESPONSIBILITIES
• To meet delivery deadlines for preparation of agendas, board packs, drafting minutes and matters arising schedules;
• Organising and attendance at board meetings to learn the overall process.
• To build positive relationships (with the team,clients and other departments within Waystone) and add real value to the team.
• To adhere to processes, procedures, and working practices.
• To work within a team as a team player to ensure client focus and delivery of team key KPIs.
• To collaboratively work together as a team to 'problem solve' any items.
• Maintaining and updating of company statutory registers.
• Deal with queries and requests, on a day-to-day basis from clients, auditors and internal staff.
• Providing effective administrative support to the team and assisting in delivering high quality work to the clients;
• To deal with any other responsibilities reasonably assigned.
• To represent the Company in a professional manner and enhance the perception of the Company as client oriented, proactive and dedicated to providing high quality service to the clients;.
• Maintaining the accuracy and integrity of information related to Company Secretarial
• Assisting the team in maintaining Company books in the Minute Book room in Dublin Office;
• Monitoring and maintaining task lists and ensure tasks are cleared on a timely basis and internal metrics complied with;
• Liaising with relevant parties on various meeting related items;
• Any other administrative tasks in the support of the Company Secretarial team in the servicing of Company Secretarial client relationships;
• Familiarity with the funds regime in the UAE mainland. Understanding the funds regulations and framework in the region.
• Understanding SCA regulations on fund issuance and promotions, would be preferred.
Experience:
• Outstanding time management, organisational skills, oral/written communication skills, problem solving and critical thinking are required;
• High level of attention to detail in completing day to day tasks is required;
• Excellent interpersonal skills and willingness to work independently and as part of a team;
• Must be able to work in a fast-paced and high pressured environment;
• Strong MS Office Skills and experience of CORE (online filing system with CRO), Diligent Entities, Docusign and Board Pack software are essential;
• Demonstrate an ability to be highly organised and work to tight deadlines.
• Demonstrating keen interest in pursuing Company Secretarial related training and continuous professional development is required;
• Experience in financial analysis, fund distribution, investment management, or a related area would be preferred
• Good understanding of fund regulations in the region would be preferred
• You have some experience in working within a legal or financial services environment;
• You are highly organised, proactive, accurate and have a sense of responsibility and priority management
• You are able to work independently in an environment under pressure and with tight deadlines
• You have strong English Language Skills (written and spoken)
• You are proficient in MS Office and CORE (Word, Excel, Outlook).
Education:
• You (preferably) hold a degree in Law, Business or equivalent degree or university education;
