Position Summary
The Assistant Production Manager is responsible for managing and leading a team, allocating workload, and overseeing daily operations in the workshop. This role requires coordinating resources and liaising with internal and external contacts to ensure timely and quality work delivery.
Key Responsibilities & Authorities • Establish and implement systems for physical and system stock control, asset movement monitoring, and organized procurement in the workshop.
• Assist the Workshop Manager in setting up production lines and running the facility, including machinery, production lines, and manpower.
• Ensure raw materials are available based on minimum stock quantities and commercial project plans, considering sales forecasts.
• Assist in preparing and managing the production plan, weekly and monthly reports.
• Create annual or quarterly budgets for running the workshop.
• Resolve technical issues for production lines including polyurethane, mechanical production, electronics, and assembly.
• Ensure conveyor systems are implemented for each production line.
• Prepare BOMs based on mechanical/electronic designs.
• Oversee the procurement of materials needed for production lines.
• Plan and execute shipments of raw materials and final products, ensuring no errors and all activities are controlled.
• Ensure the workshop store has all required raw materials and report issues to the corporate office.
• Implement and follow production and improvement plans.
• Report administrative tasks to the Territory Director and technical/workshop tasks to the Workshop Manager and corporate office.
• Approve material/service requests on ERP, ensuring procurement aligns with production needs and stock requirements.
• Optimize the utilization of workshop resources including machinery, manpower, utilities, and consumables.
• Coordinate workshop activities to meet timeframes, quality standards, class requirements, and budgeted costs.
• Set minimum stock requirements and ensure timely orders for tools and spares.
• Develop procedures for requisitioning materials from stores and purchasing departments and liaise with subcontractors to ensure timely payments.
• Manage budgets for purchasing materials, fixings, fastenings, and machine tools.
• Implement a maintenance system for machinery and handle breakdowns.
• Complete and submit all required documentation for workshop activities, including damage reports, repair procedures, quality tests, and additional work reports.
• Maintain attendance, sickness records, and work records for project costing and traceability.
• Ensure traceability of materials and components, maintaining a database of purchases and work done.
• Perform incoming and outgoing inspections on parts and assemblies.
• Maintain safe working practices and ensure all personnel are conversant with safety information.
• Keep procedures and work instructions up to date.
• Protect company assets, resources, manpower, buildings, machines, and vehicles.
• Monitor departmental KPIs.
• Manage production line manpower and team performance.
• Ensure correct management of work orders.
• Collaborate with the quality department to address NCRs.
• Conduct daily meetings and weekly briefings to ensure team focus.
• Ensure workshop safety and produce Risk Assessments and Safe Systems of work.
• Implement 5S and other HSEQ standards in the workshop.
• Perform final checks on tools and spares before release to project sites.
• Handle administrative tasks related to workshop rent, utilities, and part-time hiring of equipment and manpower.
• Take disciplinary actions for non-compliance affecting asset value, tool quality, safety, and reporting.
• Ensure proper storage of tools and spare parts.
• Ensure Operations supplies all run reports to TM.
• Perform other duties as assigned by management or supervisors.
• Identify training requirements.
Skills/Experience • Minimum Bachelor's Degree in Engineering/Technology, Mechatronics, Mechanical Engineering, or Production Engineering.
• At least 7 years' experience as an Assistant Workshop Manager or Production Manager.
• Advanced GMP training and implementation skills.
• Strong command of English and excellent communication skills.
