As a result, our people get to work on some of the most exciting projects in the world.We are looking for a collaborative and proactive Assistant Onboarding Advisor to join our HR team, helping to create a smooth and welcoming experience for new employees as they start their journey with us. The Assistant Onboarding Advisor will be responsible for coordinating and executing our company\'s onboarding process for new employees. Key responsibilities include:
  • Be the first point of contact for all new joiners throughout the onboarding process and sending welcome email to all new hires.
  • Coordinate with local HR Operations team to ensure HR Systems are updated and facilities/mobilisation activities are complete.
  • Coordinate with the PRO\'s/visa agents to ensure the employment visa process is complete in a timely manner.
  • Send line manager and buddy new hire notification emails.
  • Develop, coordinate, and assist in conducting the induction program for new hires, where necessary.
  • Ensure new starter welfare contact is maintained throughout the first 3 months.
  • Circulate new joiner announcements to the business on a regular basis, ensuring they are sent within 2 weeks of their joining.
  • Maintain tracker of probation periods and ensure line managers complete and submit the probation review form, prior to the expiry of the probation period.
  • Update information in the HR systems accurately; this includes adding new employees, updating any employment related changes such as role, line manager and annual leave changes.
  • Manage and process medical insurance requests, including addition and deletion of new members and maintain records.
  • Gather and process paperwork for employment visa applications.
  • Address new hires\' queries regarding the visa process, their employee benefits and payroll.
  • Share information about the company including its policies, benefits, work schedules, dress code, parking options, etc.
  • Prepare onboarding kits (e.g. stationary, T-shirts and water bottles).
  • Welcome new employees upon their arrival and give them an office tour.
  • Introduce to line manager, buddy and other team members.
  • Inform employees on their first tasks (e.g. which programs to download and how to activate their accounts).
  • Ensure new hires have technical assistance to properly set up their hardware and software.
  • Distribute manuals and guidelines as needed.
  • Remain up to date on all relevant employment laws and government relation changes/issues while ensuring HR team compliance and communicating changes to business leadership as required.
  • Champion a diverse and inclusive workforce throughout the employee life cycle and foster a culture of continuous improvement.
  • Champion our values, behaviours, and culture, being a role model for these and supporting the continual embedding of them in everything we do.
  • Role Scope: UAE (Dubai & Abu Dhabi - travel required) and KSA (Remote - no travel required)
Qualifications
  • Degree or post-graduate qualification in Human Resources or related field preferred but not essential.
  • Professional memberships or qualifications with CIPD would be an advantage.
Skills, knowledge, and experience:
  • Must have good organization skills, be comfortable multi-tasking in a fast-paced company environment and able to adjust workload based upon changing priorities.
  • Excellent communications skills.
  • Ability to develop and implement onboarding strategies.
  • Ability to handle sensitive and confidential information.
  • People oriented and results driven.
  • Proficient with Windows environment including Word, Excel and PowerPoint.
  • Experience in conducting new joiner orientation.
  • Knowledge and understanding of local labour laws within the Middle East preferred.
  • Previous exposure to multinational industries within construction or consultancy sectors preferred but not essential.
