Overseeing Daily Operations: Manage the day-to-day operations of the veterinary hospital, ensuring smooth functioning and adherence to established protocols and procedures.
Oversee non-clinical operations, such as, Finance, Human Resources, Information Technology, Procurement, and Facilities and Administrative.
Recruitment and Staffing: Needs assessment, job description development, candidate screening, conduct interviews, offer preparation, onboarding, orientation and staff training.
Staff Rota Management: Develop and maintain a comprehensive staff rota for veterinarians, veterinary nurses, receptionists, handlers and cleaners.
Holiday and Time-Off Approval : Manage the approval process for staff holidays, vacation requests, and days off.
Financial Management: Review and manage budgets, monitor expenses, and maximize revenue generation. Handle billing, invoicing, and analyze financial information to ensure the financial health of the hospital.
Client Relations: Foster positive relationships with clients by addressing inquiries, concerns, and feedback promptly and professionally. Ensure high-quality customer service and client satisfaction.
Inventory Management: Oversee inventory levels of medical supplies, pharmaceuticals, and equipment. Coordinate ordering, stocking, and inventory control to maintain adequate supplies while minimizing waste.
Setting prices for veterinary services items, and medicines considering operating costs, market demand, competitor pricing, and perceived value.
Regularly review pricing strategy to ensure that it remains competitive and sustainable over time. Monitor changes in operating costs, market conditions, and client feedback to identify opportunities for price adjustments or optimization.
Compliance and Regulation: Ensure compliance with veterinary regulations, health and safety standards, and licensing requirements. Stay abreast of industry changes and implement necessary updates to maintain compliance.
Facility Maintenance: Oversee maintenance of the veterinary hospital facility, including cleanliness, safety, and functionality. Coordinate repairs, upgrades, and renovations as needed.
Review and approve all decision related to purchase or maintenance of clinical equipment and maintain the infrastructure of ZVH.
Emergency Preparedness: Develop and implement emergency protocols and procedures to handle medical emergencies and disasters effectively. Ensure staff are trained and equipped to respond to emergencies promptly.
Marketing and Promotion: Develop and implement marketing strategies to attract new clients and promote veterinary services. Utilize advertising, social media, and community outreach to enhance the hospital\'s visibility and reputation.
Website Management: overseeing the veterinary hospital\'s website, collaborate with web developers to maintain an up-to-date and user-friendly website interface that engages visitors and facilitates easy navigation.
Troubleshooting and Issue Resolution: Act as the primary point of contact for addressing any technical issues or errors that arise with the website.
Administrative Duties: Handle administrative tasks such as managing medical records, and oversee the maintenance of accurate and up-to-date medical records for all patients.
Veterinary Management Software : Overseesthe veterinary management software used by the practice, ensuring its smooth operation and optimal utilization. Collaborate with software vendors to implement, customize, and maintain the software system according to the practice\'s needs and preferences. And address any technical issues, or user concerns related to the software promptly, working with technical support to troubleshoot and resolve problems. Regularly review and audit data within the software system to ensure accuracy, consistency, and compliance with regulatory requirements.
Collaboration with Referring Veterinarians for Advanced Imaging Referrals: Establish agreements with referring veterinarians to facilitate referrals for advanced imaging procedures such as CT scans and MRIs. Work closely with referring vets to streamline the referral process.
