We are currently seeking an Assistant Manager - Operations to join our dynamic team. As the Assistant Manager - Operations, you will play a key role in supporting the overall operations of our company. You will collaborate with different teams to streamline processes, optimize resource allocation, and ensure efficient service delivery to our clients and residents.
Responsibilities
Sit at the front desk reception.
Handle procedures for tenant relocation and move-outs.
Book meeting rooms.
Assist tenants with maintenance requests and immediate needs.
Manage daily operations of the Facilities Management Company on-site, including:
Cleaning common areas
Providing PPMs
Office maintenance for tenants
Assist with on-site maintenance work, including:
Preventative maintenance
Procuring spare parts
Providing groceries for serviced offices
Manage spare furniture inventory with the maintenance team.
Assist in moving furniture according to tenant requirements and agreements with clients.
Provide appropriate technical reports.
Upload invoices and quotes to the system with proper justification.
Collect and upload AMC invoices monthly from suppliers.
Renew existing AMCs and create new AMCs with suppliers.
Provide KYC services to new suppliers and renew KYC services for suppliers and contractors.
Coordinate with Building Management (King Field) and their maintenance operations.
Assist with fit-out related works, including:
Obtaining NOCs
Managing DEWAs
Other fit-out requirements as needed
Requirements
Bachelor\'s degree in Business Administration, Operations Management, or a related field.
Proven experience in operations management or a similar role.
Strong analytical and problem-solving skills.
Excellent communication and interpersonal skills.
Proficient in using Microsoft Office Suite and other relevant software.
Attention to detail with strong organizational skills.
Ability to multitask and prioritize tasks effectively.
Ability to work well in a team as well as independently.
Knowledge of property management or real estate industry is a plus.
Flexible and adaptable to changing priorities and business needs.
