Real Estate Administrator
Job description
Oversee the organization and efficiency of daily office operations. Communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.
Administration:
Managing Diary / Calendar for the Company - booking meetings, arranging meeting rooms or venues, updating google calendar, sending notifications and setting up reminders.
Necessary periodic follow-ups with Team members as instructed.
Creating and Maintaining filing systems - online and offline, ensuring that paperwork is up to date.
Typing documents, Creating PowerPoint presentations, or Excel sheets as instructed.
Preparing smart reports periodically for the company management in agreed formats
Marketing
Social Media Channel updates - basic graphic designing, creating brochures, others for WhatsApp broadcasts
Web research to collect latest updates, reporting & sharing with team.
Inbound Calls. Handling company leads phone - answering calls and qualifying clients, updating contact on CRM and assigning lead to agent on WhatsApp Groups.
Business Support
Assisting with updates of marketing portals - Houza, Bayut, Dubizzle, Property Finder, James Edition - to ensure listing quality is maximized and listings are verified leading to optimized lead generation. Updating CRM with notes. Database management - data entry, update contacts, create lists. Agent support - Documentation, filling forms, creating Contracts etc.
Property Listing
Listing Property in CRM and creating marketing forms and Form A through the DLD Dubai rest application.
Knowledgeable of the listing rules from Off Plan to Off Plan Resale and Secondary Market.
Gather all listing information and mandatory documents for listing requirements.
Organize the property details which include Photos, videos, floor plans, a title deed, NOCs, and IDs Knowledgeable of getting Trakheesi (RERA) permits for any form of advertisement.
Contact Property Portal Support for any listing-related problems.
Updating listings on the CRM and Property Finder, Bayut, and Dubizzle.
Coordinating with the agents for their listings on different platforms.
Maintaining a high-quality score for the listings on each platform.
Strategically using the listing tools to promote the right listings/properties using Platforms' paid promotion tools.
Communicating with the agents to ensure the listing standards and achieving better results on the platforms.
Making sure the communication & brand guidelines set are being followed even on the listing platforms.
Business Trip/ Events
Booking Property Photography / videography schedules and visiting along with Photographers from time to time. Making official trips to Developer offices, Trustee Offices, Seller / Landlord offices to deliver documents, collect / deliver cheques, make payments, pick / deliver keys, others.
Qualifications
2 years of experience as an administrative assistant / administrator, Real Estate
Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
Knowledge of real estate related applications, procedures, guidelines preferred
High-level proficiency in all Real Estate CRMs and Portals
Well-versed in Trakheesi and DLD App and website
For editing photos and creating drafts:
- Adobe Acrobat
- Lightroom
- Photoshop
Outstanding organizational and time management skills
Fluent in English

Job Types: Full-time, Permanent
Pay: AED6,000.00 - AED8,000.00 per month
