Job Description

The Administrator will provide comprehensive administrative support to our client. This role requires exceptional organizational and the ability to handle a wide range of administrative duties with tact and professionalism. A successful candidate will work closely with Finance , Customs and manage the inventory.




Finance


• Coordinate all the audit requirements for internal / external audit exercises
• Maintains various files, archived workpapers and binders related to audit, inventory, and customs
• Coordinating audits with other departments with an organization such as human resources or accounting
• Applying internal control to prevent errors from occurring
• Execute operational procedures to ensure compliance with industry standards or legal requirements
• Maintain / Execute policies and procedures to ensure compliance with laws and regulations
• Preparing reports summarizing audit findings and recommendations for corrective action


Customs

• In-charge of cargo which is meant for exportation
• Handling the necessary paperwork that involves the packing / unpacking of the cargo
• Inspecting cargo containers to ensure that they are properly labeled and sealed
• Ensuring that shipped goods are delivered / received in the right condition
• Handles documentation related to the shipments, including insurance forms and dispatch forms
• Interpreting laws, regulations and policies regarding trade and travel to ensure compliance
• Collecting data such as prices, volumes, weights, foreign exchange rates and other statistics
• Inspecting cargo at the facility to ensure that they are safe to ship
• Coordinating with all the authorities to ensure proper delivery of the cars, spares and other items
• Auditing records to ensure compliance with laws and regulations regarding imports and exports
• Obtaining permits or certifications for items that enter / exit the company
• Ensures that the shipment is compliant with the hazardous shipping compliance information
• Keeps track of routing information
• Develops logistics which is to be used to track changes and ensure delivery of cargo
• Knowledge and ability to handle cars registration
• Knowledge and ability to fulfill local requirements for import and export for cars coming temporarily from outside UAE



Inventory

• Preparing reports on inventory levels and recommending purchase orders or sales based on trends in usage rates
• Reviewing inventory records to ensure that they are accurate and up to date
• Monitoring physical inventory levels and ordering additional inventory when needed to meet the demand
• Performing reconciliation of inventory records with external entities
• Monitoring inventory levels to ensure that they within the acceptable ranges
• Reviewing inventory date and initiating follow-up actions with suppliers or manufacturers when inventory levels drop too low
• Creating and maintaining an inventory of all inventory items held by the company.






Requirement

• University Graduate in supply chain and logistics is preferred.
• Excellent knowledge of Excel and PowerPoint
• Knowledge of PowerBI and SAP

• + 2 - 3 years working experience in similar role will be an advantage
+ Understand numbers and trends and can analyze data
• Able to communicate clearly to senior management
• Strong Analytical and report writing skills
• Able to work independently with minimal supervision
• Fluent English
