To support our continued growth, we are seeking an experienced and detail-oriented Admin and Sales Support Executive to join our team in Dubai.

The Admin and Sales Support Executive will play a vital role in managing administrative tasks, supporting the sales team, and overseeing company accounts.
The successful candidate will bring industry-specific expertise, particularly in the automatic doors and physical security solutions sector, to support both internal teams and clients.
This role requires a proactive professional capable of managing multiple responsibilities efficiently while maintaining accuracy and attention to detail.
Key Responsibilities:
1. Sales Support and Customer Coordination:
• Quotation Preparation: Collaborate with the sales team to create accurate and professional quotations for clients, ensuring timely submission and follow-up.
• Project and Customer Follow-Up: Act as a point of contact for clients, providing updates on project timelines, addressing inquiries, and ensuring consistent communication throughout the project lifecycle.
• Lead Generation and Market Research: Research and identify new customer opportunities, monitor industry trends, and support the sales team in generating new leads and expanding the customer base.
• CRM System Management: Update and manage the company's CRM system, ensuring customer and project information is accurately recorded and utilized to enhance customer relationships.
2. Administrative Support and Documentation:
• Document Management: Maintain and organize company records, including invoices, quotations, shipping documents, and other important paperwork, both in digital and physical formats.
• Office Operations Support: Handle general office administrative tasks, such as managing office supplies, coordinating team meetings.
3. Financial Management and Accounts Handling:
• Invoice and Credit Management: Prepare, issue, and track invoices, delivery notes, and credit notes accurately and on time, ensuring that all transactions are documented properly in the accounting system.
• Accounts Receivable and Payable: Monitor accounts receivable to ensure timely payments, follow up with clients on overdue invoices, and manage accounts payable to maintain smooth financial operations.
• Tax Compliance and Audits: Ensure compliance with local tax regulations and prepare necessary documents for audits, tax filing, and other regulatory requirements.
Requirements:
• Minimum of 2-3 years of experience in administrative, and sales support roles within the automatic doors and physical security solutions industry.
• Strong understanding of and familiarity with local regulatory requirements in Dubai, UAE.
• Proficiency in accounting software and Microsoft Office Suite (Zoho, Excel, Word, Outlook).
• Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks and prioritize effectively.
• Excellent written and verbal communication skills, with a customer-focused approach.
• Ability to work independently, as well as collaboratively, within a dynamic and fast-paced environment.

Qualifications:
• Arabic: preferred, Native/Fluent
• English: Fluent
