Job Summary



We are seeking a dynamic and highly creative Administration Coordinator- you should be a super versatile associate with strong soft interpersonal skills, excellent analytical capacities and outstanding attention to detail. Ideally this candidate would have expertise working with Dubai major property listing portals including Property Finder, Bayut and Dubizzle. Candidates should have real estate administration experience, expertise with real estate government NOC process and outstanding organization skills to manage progression of real estate transactions (required documentation) and investor client rental/tenant management. Ideal candidates would bring market-leading best practices to our online search portal presence and drive a significant increase in property buyer leads. We are looking for a digital native with a passion for leveraging cutting-edge AI technologies to create compelling content across all social media platforms.

Responsibilities Include:



Administration:

Handle inquiries, ensure RERA compliance, manage CRM portals, coordinate with developers for registrations and NOCs, organize documentation, and maintain data in Google Drive.

Contracts Management:

Prepare and review tenancy contracts, schedule renewals, and draft various sales and purchase agreements.

Marketing & Advertisement:

Obtain marketing NOCs, generate permits for property advertisements, verify ad compliance, monitor listings, and collaborate with sales teams.

Compliance & HR Duties:

Maintain HR records, ensure client compliance with KYC and AML regulations, implement company policies, manage NDAs, schedule interviews, oversee visa processing, and handle employee-related tasks.

Property Management:

Manage property documents, maintain availability and boost lists, oversee image collection, and organize landlord documents.

Sales Management:

Generate sales reports, manage permits, coordinate office and training, ensure contract compliance, generate receipts, and handle client and document management.

Reporting and Follow-up:

Provide regular updates, ensure timely follow-up on tasks, and communicate challenges to management.

Qualifications



Expertise in real estate search engine portals. Strong understanding of AI technologies. Excellent analytical, communication, and problem-solving skills. Ability to work independently and in a team.
