We are seeking applicants for the position of the Administrative Assistant I in our in our Qatar Campus.
Job Summary Responsible for providing coordinating, administrative and secretarial/clerical assistance for specific programs and projects. Works closely with department head or business manager to ensure that project and/or program is run smoothly. May be the only support staff for a particular program/project area. Requires in-depth knowledge and understanding of the practices, policies and procedures of the particular area
Job Responsibilities Provides administrative and secretarial/clerical assistance. Drafts memos and correspondence using office software. Prepares and proof materials form rough drafts or dictation. Serves as initial contact and liaison, providing information/coordination via phone or in person for the department/program Schedule meetings, conferences or travel arrangements; prepares itineraries or meeting agendas; ensures meeting materials are produced and available. Produces, assembles and maintains reports and summaries. Frequently required to respond directly to inquiries and requests regarding this information. Provides general office management: setting up and maintaining filing systems, initiating and processing purchase orders for office equipment and supplies, paying bills, etc. Maintains department calendar to ensure that time-critical issues such as group meetings, project reviews, etc. are identified and adhered to. Performs related duties as assigned.
