Transworld Business Advisors of GCC, a leader in business advisory services, is seeking a dedicated Administrative Assistant to join our dynamic team.
Job Summary: We are seeking a highly organized and efficient Admin to support our team. The successful candidate will be responsible for a variety of administrative tasks to ensure the smooth operation of our business activities.
Key Responsibilities:
- Manage and organize daily administrative tasks, including answering phone calls, emails, and managing schedules.
- Prepare and maintain business documents, contracts, agreements, and other legal documents
- Maintain and update client databases and Business listings.
- Serve as the first point of contact for clients, providing excellent customer service.
- Schedule and coordinate meetings, and appointments for agents.
- Assist in responding to client inquiries and resolving any issues or concerns.
- Assist in the creation and distribution of marketing materials, including brochures, flyers, and online listings.
- Manage social media accounts and website content to ensure up-to-date and engaging business listings.
- Coordinate and support marketing events and open houses.
- Assist with the preparation and tracking of financial documents, such as invoices, receipts, and expense reports.
- Manage billing processes and follow up on outstanding payments.
- Ensure all business transactions comply with local laws and regulations.
- Maintain accurate and organized records of all transactions and documentation.
- Oversee the maintenance and organization of office supplies and equipment.
- Coordinate with vendors, contractors, and service providers as needed.
- Support the overall office environment to ensure a professional and efficient workspace.
Qualifications:
- Proven experience in an administrative role. - Minimum of 3 years experience.. - Strong organizational and multitasking skills. - Excellent communication and customer service skills. - Proficiency in MS Office Suite and real estate software (e.g., CRM systems). - Knowledge of local real estate laws and regulations is a plus. - Ability to work independently and as part of a team. - High level of attention to detail and accuracy. - Fluent in English; proficiency in Arabic is an advantage.
