We offer a collaborative and supportive work environment where every team member is valued and encouraged to grow professionally.Job Purpose: Administrative AssistantAssist in administrative and legal tasks dealing with third-party agents such as government agencies, vendors, business partners, and law firms.Duties and Responsibilities:Administrative Tasks:
Handle company registration renewals, licenses, utilities, maintenance, and general office support.
Maintain organized electronic and physical filing systems.
Assist in creating, formatting, and editing documents, reports, and presentations.
Accurately enter and update data in databases and spreadsheets.
Travel and Coordination:
Coordinate travel arrangements, including booking flights, accommodation, and transportation.
Prepare travel itineraries and ensure compliance with company policies.
Government and Legal Coordination:
Process visas, residency permits, labor cards, and other government documentation for the UAE.
Handle renewals of leases, licenses, PO Box renewals, tenancy contracts, and Ejari renewals.
Coordinate with governmental agencies for approvals and inspections.
Procurement and Maintenance:
Search for new office spaces and showrooms.
Handle utility bills, fleet fines, pest control, and sanitization works.
Oversee maintenance works and coordinate with finance for payments.
Consultancies:
Assist in setting up international branches and visa applications.
Coordinate with vendors for maintenance, renovations, and expansions.
Other Responsibilities:
Perform other tasks as assigned by the supervisor.
Education and Qualifications:
Bachelor\'s degree in business administration or related field.
Experience as an executive assistant or in a similar administrative role.
Skills Required:
Proficiency in English and Urdu or Hindi (Arabic preferred).
Strong negotiation and critical thinking skills.
Knowledge of local rules and regulations (RTA, MOHRE, Courts, etc.).
Excellent organizational and time-management skills.
Ability to handle confidential information with discretion.
