The University Counseling Services Center is currently seeking a detail-oriented and proactive Administrative Assistant to support operational functions and coordinate counseling service activities and materials.The successful candidate will play a crucial role in supporting the smooth operation of the Counseling Services Center by managing administrative tasks, maintaining records, and assisting with various center activities.Job Responsibilities * Administrative support:
provide general administrative support to the Counseling Service staff, including scheduling appointments, managing calendars, and handling correspondence.
Assist in preparing presentations and other resources for the University Counseling Service.
Provide administrative support to counselors and other staff members as needed.
Client Services and Appointment Management:
Greet and assist students, faculty and staff visiting the Counseling Services Center.
Schedule and confirm counseling appointments and manage client intake forms.
Maintain confidentiality and privacy of client information in accordance with University policies, ethical and legal requirements.
Maintain non-confidential system-related records in an organized manner.
Communication and Coordination:
Serve as a liaison between Counseling Services staff, other university departments and external organizations.
Coordinate meetings, workshops, and events related to the Counseling Service\'s programs and services.
Communicate information about Counseling Services resources and policies to the American University community.
Answer phone calls and direct inquiries to the appropriate staff members.
Respond promptly to general email inquiries with professionalism and accuracy.
Data Management and Reporting:
Compile and maintain statistical data related to client appointments, services provided and outcomes.
Assist in preparing reports for internal use.
Ensure accurate and up-to-date information in the center\'s database.
Regularly update client records and appointment schedules.
Office Management:
Order and maintain office supplies and equipment, ensure an organized work environment.
Qualifications and Skills Required
Bachelor\'s degree
Proven experience in administrative support roles, preferably in a university or healthcare setting.
Strong computer skills, including proficiency with Microsoft Office Suite and electronic health record systems.
Knowledge of mental health issues and counseling services is preferred.
Excellent communication skills, both written and verbal, with a customer service-oriented approach.
Awareness and knowledge of UAE culture.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong organizational and multitasking abilities, with attention to detail and accuracy.
