Responsibilities:
Documents & License Management:
Oversee and track the renewal of trade licenses, tenancy contracts, establishment cards, and other essential company documents.
Ensure all company documents are up-to-date, properly filed and accessible in both soft and hard copy formats.
Coordinate and follow up on the renewal process, ensuring deadline compliance.
Employee Visa & Health Insurance Management:
Monitor the expiration dates of employee visas and health insurance.
Coordinate the timely renewal of visas and health insurance through company portals.
Ensure that all employee records are maintained and updated regularly.
Property & Contract Management:
Manage and track the renewal of commercial property contracts, including leases for office spaces, warehouses, and parking areas.
Oversee residential property management, ensuring tenancy agreements are updated and renewed as required.
Maintain accurate and organized records for both commercial and residential properties.
Liquidation & Corporate Document Management:
Assist in the coordination of the liquidation process for companies under closure, working closely with external liquidators.
Ensure that all necessary documents related to liquidation and VAT deregistration are properly filed and tracked.
Keep detailed records of all legal documents related to company closures and provide timely updates as needed.
General Administrative Support:
Manage and update employee and company files, ensuring they are well-organized and easily accessible.
Support the administrative team with general office tasks, including correspondence and document preparation.
Communicate with internal teams and external partners to ensure the smooth flow of operations.
Portal & Access Management:
Monitor and manage company portals such as DMCC Portal, Dubai Trade Portal, Fujairah Freezone Portal, and DWTC Portal.
Assist with password management and ensure all updates are communicated effectively to management.
