Job Description

:Responsibilities:
  • Arrange his calendar, meetings, filtering calls, managing incoming and outgoing documents and all required secretarial tasks.
  • Administrative works which includes organizing files, reports, answering telephones, arranging meeting locations, send documents through courier, making photocopies, typing, scanning, printing, binding, stamp documents and travel arrangement.
  • Managing invoices from external lawyers & experts and courts, create PO\'s, prepare reimbursement of expenses or required travel cash advances...etc.
  • Inventories and orders office supplies.
  • Booking meeting rooms for colleagues and arranging meeting schedules.
  • Ensure proper organizational and security of documents (paper & electronic).
  • Collect and register all technical documents in the company\'s system.
  • Handle records across various departments.
  • Maintain confidentiality regarding sensitive documents.
  • Establish and maintain record retention timelines.
  • Other tasks instructed by the HOD.
Requirements:
  • Minimum 5 years\' experience in a similar role
  • Excellent communication skills in English
  • Flexible and capable of managing a busy schedule
  • Past experience working in a law firm / Legal department is a plus
