Key Responsibilities: Office Management: Supervise and coordinate administrative staff to ensure efficient workflow and adherence to company policies and procedures. Oversee the management of office supplies, equipment, and facilities, ensuring proper maintenance and repair when necessary. Develop and implement office policies and procedures to streamline administrative processes and enhance productivity. Documentation and Record Keeping: Manage the processing and filing of shipment documentation, including bills of lading, customs documents, and invoices, in compliance with regulatory requirements. Maintain accurate and organized records of client transactions, correspondence, and other administrative documents. Ensure confidentiality and security of sensitive information in accordance with company policies and data protection regulations. Customer Service Support: Serve as a point of contact for clients, vendors, and other stakeholders, addressing inquiries and providing assistance as needed. Coordinate with internal departments to resolve customer issues, track shipments, and ensure timely delivery of services. Handle customer complaints and escalate complex issues to appropriate personnel for resolution. Financial Administration: Assist in the preparation and monitoring of budgets for administrative expenses, including office supplies, utilities, and maintenance costs. Process invoices, expense reports, and other financial documents accurately and in a timely manner. Collaborate with the finance department to reconcile accounts, track expenditures, and maintain financial records. Compliance and Regulatory Compliance: Ensure compliance with relevant laws, regulations, and industry standards governing freight forwarding operations. Stay updated on changes in regulations and ensure that administrative processes and documentation meet legal requirements. Coordinate with regulatory agencies, customs authorities, and other stakeholders to obtain permits, licenses, and certifications as required. Qualifications and Skills: Bachelor\'s degree in Business Administration, Management, or a related field. Proven experience in administrative roles, preferably in the freight forwarding or logistics industry. Strong organizational and multitasking abilities, with attention to detail and accuracy. Excellent communication and interpersonal skills, with the ability to interact effectively with internal and external stakeholders. Proficiency in Microsoft Office Suite and administrative software applications. Knowledge of administrative procedures, office management principles, and financial processes. Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment. Familiarity with regulatory requirements related to freight forwarding, customs clearance, and international trade is a plus.
