Responsibilities:General Administration and DocumentationEnsures all administrative activities are handled effectively and efficientlyRising, Monitor, follow up and update service request from C.R.M through Oracle.Prepares Purchase Requisitions and ensures all purchasing activities are completed within timescales has sufficient back-up documentation.Provide updates on purchase requests and maintains a library database of LPOs and rejected PRs.Sending RFQ and obtain the quotes, submit LPO for management approval in oracle.Receiving invoices, preparing cost sheets and send to management for approval.Record, Distributes, photocopying and scans documents on daily basis.Preparing the petty cash voucher, obtain approval of management and forward to finance.Maintains confidential records and filesTake minutes at meetings, distribute minutes, and follow up for an action.Managing the stationary & pantry inventory and placement of orders as when required.Maintain/Update/administer and coordinate with Team for Mystery Shopper issues for the updating and rectification.Ensures that the overall department files, in both hard and soft copies are always in order and obtains proper document filing system for all the master files in the G-Drive.Maintains and updates the departments Launch Calendar and Work Program as well as records of all existing reports and creates files on as needed basis.Assisting in Tenders Packages Evaluation, Tender Memo and obtain proper document filing system for all the master files.Ensures effective and continuous communicationRequired Skills:University DegreeBeing a technical department, engineering degree is preferred but not compulsoryMinimum 2 years of experience of administrative jobTechnical skills in MS Office including Excel & Power PointCommunication skills both oral and writtenKnowledge of modern office procedures, methods, and equipmentGood organizational skillsGood interpersonal skills, pleasant and courteous manners required.Ability to cope with stress, logical and methodical procedures, etc.Ability to handle multiple tasks flexibly and effectively and deliver work in a timely fashion
