Our Group employs approximately 2000 people from 41 different nationalities, which contributes to our multicultural and multi-national environment.Al Rostamani Pegel is a main contractor in the UAE Construction Industry and has to its credit, timely and successful construction of several multipurpose projects including high rise buildings, villas, hotels, hospitals and industrial facilities.Job PurposeThe position is responsible for primarily performing basic office management tasks and to ensure that the administrative part of the business can run smoothly and efficiently. They can be actively involved in filing, updating & maintaining proper records, coordinating activities pertaining to HR related matters, collaborating with projects, departmental staffs & interested parties of the business.Job ResponsibilitiesCompilation & submission of the ETISALAT Payment summary sheet of preceding month bills to the Accounts.
Compilation & submission of the DEWA (Camp/Site/HO) Payment Summary sheet of preceding month bills to the Accounts.
Compilation & submission of the EPPCO Payment summary sheet of preceding month bills to Accounts.
Compilation & submission of the SEWA Payment Summary sheet of preceding month bills to Accounts.
Monitors and checks the Head office Consumable - pantry, drinking water, stationery items and cleaning items expenses.
Coordinates, handles and addresses the maintenances related complaints of head office & update the record register.
Coordinates & prepares schedule of maintenance / inspection / services for camp on monthly basis & update the record register.
Monitors and checks the AMC of Head office & Labor Camp, Sending inquiries and LPO to be issued to the service provider prior to the expiry date.
Sending inquiries to all admin (PPE, stationeries, consumable items) / labor camp purchase requirements, preparing bid summary and LPOs to be issued.
Coordinates & prepares schedule of maintenance / inspection / services for labour camp on monthly basis & monitors the record register collaboration with camp bosses.
Handles and addresses the day to day IT requirements for HO & project sites as required.
Conduct training to the cleaners for handle the chemical items will be organized quarterly.
Liaise with GHRD for LC/Visa renewal of staffs/workers and handle requests queries as received/required.
Preparing daily labor and staff summary report.
Handling leave request of labor & submitting necessary TRF inquires upon received.
Preparing transfer notes of the labor upon return back from their annual leave or upon received notification from site.
Notify the projects of HR/Admin notifications received from GHRD.
Monitors and checks the daily routine activities of receptionist, office boy, security and cleaners.
Familiarizing new employees with company practices.
Providing secretarial support through tasks such as data entry, printing, and answering the phone.
Addressing the query upon received from labor pertaining their resignation status, leave status, salary deduction, FFS status, TRF, PPE requirement etc.
Arranging labor welfare community meeting in liaison with Camp Boss.
Receiving, distributing and archiving of all correspondence documents.
Uploading in/out letters received from project site into SAP system.
Handles and addresses the inquiry related to archived documents.Job RequirementsQualifications
  • Diploma in HR and Administrative or any similar study/ certification.
Experience
  • Experience in common HR Information Systems, Example: SAP.
  • Two or more years of general administrative experience.
  • Good knowledge of all Microsoft packages including Word, Outlook, and Excel.
  • General knowledge of HR the best practices would be an advantage
