Admin Assistant for Advertising Company
• Experience: Previous experience in the UAE specifically in an Advertising Company.
• General Administrative Support: Manage office supplies, including ordering and restocking. Schedule and coordinate meetings, appointments, and travel arrangements for team members. Answer and screen phone calls, emails, and postal mail. Organize and maintain files, both digital and physical. Greet and assist visitors and clients.
• Software/Portal: Proficiency in office management software such as SAP Ariba, Government Software, and Proactive.
• Tech Proficiency: Be proficient with office software and tools such as Microsoft Office, Google Workspace, project management software, and CRM tools.
• Document Management: Prepare, edit, and format documents, reports, and presentations. Ensure that advertising materials are properly organized and readily accessible. Handle document version control to prevent errors in advertising materials. Update contact information and project status. Ensure data accuracy for client and advertising campaign tracking. Coordinate logistics, such as venue selection, catering, and materials preparation.
• Communication: Serve as a liaison between clients, team members, and external partners. Excellent verbal and written communication skills. Keep track of client project timelines and deliverables. Take meeting minutes, distribute action items, and follow up on deadlines. Create reports and charts for advertising campaigns.
• Distribute internal and external communications. Keep track of important dates and deadlines.
• Client Support: Support clients, answering queries, and ensuring their needs are met.
• Process invoices and expenses related to advertising campaigns. Collaborate with designers and copywriters for ad creation.
• Event Coordination: Assist in planning and organizing promotional events, product launches, or client meetings.
• Database Management: Maintain client and project databases.
• Budget Management: Assist in managing and tracking departmental budgets.
• Creative Support: Assist in creating and organizing advertising materials and presentations.
• Data Analysis: Compile and organize data for campaign performance analysis.
• Problem Solving: Be a resourceful problem solver, anticipating needs and proactively addressing issues that may arise in the fast-paced advertising industry.
• Confidentiality: Practice discretion when handling sensitive client information and campaign details.
• Team Collaboration: Work closely with advertising account managers, designers, copywriters, and other team members to ensure smooth project workflows.
• Adaptability: Be prepared for changing priorities and tight deadlines in the advertising world.
