:Aldar Academies are seeking an Administration Assistant (Engage & Pastoral system) for Bateen World Academy commencing immediately.Bateen World Academy is located in the center of the city of Abu Dhabi and is a hugely popular school based in a vibrant community. The school is a high achieving British and IB World School (Years 7 to 13) easily exceeding IB Diploma global averages year on year and achieving outstanding I/GCSE results. The school recently expanded into primary years, starting with FS2 to Year 3, and developed this year to include a full primary provision, FS2 to Year 6. To manage the engage system, and input data such as student/staff timetables, attendance, school calendar.
To organise school events through engage (PTCD, Open Evenings)
To provide administrative support to the Heads of Year and Assistant Principal (Pastoral) in accordance with school policy and procedures. For example, written correspondence and telephone calls to parents; dealing with messages and enquiries; maintaining records; producing reports/ spreadsheets;
To support the Pastoral Leadership Team in ensuring high standards of student discipline, conduct, attendance, punctuality and appearance, in line with school policy and procedures;
To provide administrative support for school pastoral systems relating to detention, uniform, attendance, mobile phones, home-school agreements, options forms, leavers forms, work-experience forms;
To act as an interpreter at parent-student meetings, as required;
To translate key written correspondence from English to Arabic, or vice versa;
To assist with the preparation for end of term celebrations awards and certificates;
To assist with organisation of parent- teacher-student conferences;
To produce pastoral information and guidance to parents, staff and students;
Attend weekly pastoral briefing, meetings and CPD, as required.
Undertake administrative work relating to the parent portal, for example, updating the Calendar, organising passwords for parents, ensuring portal is up-to-date and accurate.
To be the staff link between Engage and Home so that any problems experienced or questions by parents using the portal can be sorted promptly; communication between school and parent continuously improved. Reporting any incidents and actions to parents as requested by a member of staff.
To ensure that student records and class lists are up-to-date and accurate for SEN, G&T, Curriculum, Assessment, Performance Tracking, Examinations and Timetable.
Liaise with Heads of Department and teachers in ensuring the student records and class lists are up-to-date and accurate. This could involve providing one-to-one support and advice.
Assist in setting up Report Templates (for Progress Reports) and Timetabling, as directed by the Deputy Principal, and support any new developments/features within Engage.
Provide administrative support for the termly Afterschool activities programme and the annual ECAs Week. Responsible of Allocations and contacting parents of any students who are not on the programme.
Create a balanced programme of creativity, action and service for all students (Years 7 to 13), which is age appropriate. This will mean working with students, colleagues, the trip organiser and outside organisations to provide activities, expeditions and events.
Liaise with form tutors and heads of year to help maintain accurate records of all student participation in CAS activities in Years 10 to 13; liaise with form tutors and heads of year to encourage student participation in CAS activities in Years 7 to 9
Monitor and evaluate CAS throughout the school, ensuring consistency and progress.
Support with the arrangement of school trips/visits, and prepare documents as required by ADEK in English and Arabic, monitoring approval by ADEK. This include Trasul application for approvals of visitors.
Specific Duties
To provide a) daily lunchtime cover for Reception (primary/secondary), and b) cover for Receptionist for any absence due to holiday or illness;
Any duties as required by the Assistant Principal and Principal.
Qualifications:Minimum Qualifications
I/GCSE English A* - C or equivalent
GCE A Levels/Level 3 or equivalent qualifications
Minimum Experience
Experience of working as part of a team
Must be proficient in both English and Arabic (speaking, reading and writing)
