01. Scope of Responsibilities

Accounts & Administration Officer will be responsible and who could oversee accounts payable and receivable for all companies and websites under petrocontracts group, for providing high quality support services in managing the Accounting, Book-keeping, Auditing, General office administration and custodian of the internal HRIS system and documents ensuring compliance with UAE & UK laws and regulations and providing administrative support to our finance department.

02. Skills and Experience

Accounting and Financial Expertise: Strong understanding of accounting principles, financial reporting, budgeting, and cash flow management.

Regulatory Compliance: Knowledge of UAE financial regulations, including VAT, labor laws, and immigration processes.

Technical Proficiency: Skilled in using accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Office Suite, particularly Excel.

Analytical Skills: Ability to analyze financial data, identify trends, and provide actionable insights.

Attention to Detail: High level of accuracy in financial record-keeping and document management.

Organizational Skills: Excellent time management and organizational abilities to handle multiple tasks and deadlines.

Communication Skills: Effective verbal and written communication skills for interacting with customers, vendors, and government officials.

Problem-solving: Strong problem-solving capabilities to address financial discrepancies and administrative challenges.

PRO Services Expertise: Experience in managing visa applications, government documentation, and liaising with UAE government departments.

Interpersonal Skills: Ability to work collaboratively with cross-functional teams and build strong relationships with stakeholders.

03. Responsibilities & duties:

Financial Management:

• Oversee and manage the general accounting functions, including accounts payable, accounts receivable, general ledger, and taxes.
• Ensure timely and accurate processing of invoices, purchase orders, and payment transactions.
• Conduct regular reconciliation of bank statements, accounts, and financial records.
• Prepare monthly, quarterly, and annual financial reports and statements.
• Assist in the preparation and monitoring of budgets, financial forecasts, and cash flow projections.
• Implement and maintain internal financial controls and procedures to ensure compliance with UAE laws and company policies.

Compliance and Audit:

• Ensure compliance with UAE financial regulations, including VAT filing and reporting requirements.
• Coordinate with external auditors during audits and provide necessary documentation and support.
• Stay updated with changes in UAE financial laws and regulations to ensure ongoing compliance.

Administrative Support:

• Provide administrative support to the finance department, including scheduling meetings, preparing documents, and maintaining records.
• Assist in the development and implementation of financial policies and procedures.
• Manage the documentation and filing of financial records, both electronic and paper-based.
• Coordinate with other departments to gather and verify financial information for reporting purposes.
• Support PRO Services

E-commerce Financial Operations:

• Monitor and manage financial transactions related to the e-commerce platform, including sales, refunds, and chargebacks.
• Collaborate with the e-commerce team to optimize financial processes and enhance the customer experience.
• Analyze financial data to identify trends, opportunities, and areas for improvement in e-commerce operations.

Customer and Vendor Relations:

• Handle inquiries and provide support to customers and vendors regarding financial transactions.
• Negotiate payment terms and agreements with vendors and suppliers.
• Ensure timely and accurate processing of vendor payments and customer refunds

PRO Services:

• Manage all PRO services, including visa applications, renewals, and cancellations for employees.
• Handle government-related documentation and submissions, such as trade license renewals, labor cards, and immigration paperwork.
• Liaise with various government departments (e.g., Ministry of Labor, Immigration, Chamber of Commerce) to ensure compliance with UAE laws and regulations.
• Maintain up-to-date knowledge of UAE labor and immigration laws to provide accurate advice to management and employees.
• Coordinate with external PRO agencies and ensure efficient and timely processing of all governmental documents and permits.

04. Qualifications / experience required:

• Bachelor's degree in accounting, Finance, Business Administration, or a related field.
• Minimum of 3-5 years of experience in accounting or financial management, with experience in PRO services, preferably within the e-commerce industry.
• In-depth knowledge of UAE financial regulations, labor laws, and immigration processes.
• Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Office Suite, especially Excel.
• GCC experience preferred.
