Job Description

Role:

Accounting & Financial Assistant Reporting to: Operations Manager

Role Summary:

The Accounting & Financial Assistant will provide essential support to the Operations department, handling various financial tasks including bookkeeping, invoicing, reconciliation, and reporting. This role requires accuracy, attention to detail, and proficiency with accounting software to ensure all financial records are maintained and updated properly.

Key Responsibilities:



Financial Management & Reporting:



Maintain accurate financial records by processing invoices, payments, and receipts. Prepare monthly, quarterly, and annual financial statements and reports. Conduct bank reconciliations and resolve discrepancies. Assist in budgeting, forecasting, and financial analysis. Monitor accounts payable and receivable to ensure timely processing and collection.

Bookkeeping & Documentation:



Record financial transactions in accounting software and ensure all entries are accurate. Maintain organized and up-to-date financial files and documentation. Prepare journal entries, adjusting entries, and financial statements as needed.

Compliance & Audit Support:



Assist in preparing documents for audits and ensuring compliance with regulatory requirements. Maintain internal controls to safeguard financial data. Support the Finance team in implementing and improving financial processes.

Collaboration & External Engagement:



Liaise with external auditors, vendors, and clients to address financial inquiries. Support interdepartmental coordination to ensure financial data accuracy. Participate in meetings and provide financial insights as needed.

Continuous Improvement & Efficiency:



Identify opportunities for process improvements and recommend solutions. Stay updated on industry best practices and financial regulations. Assist with special projects as required by the Finance department.

Ongoing Duties:



Provide financial and administrative assistance to colleagues within the Finance department. Collaborate with all relevant departments to achieve financial and organizational objectives.

Skills & Qualifications:



Technical Expertise: Knowledge of accounting principles and financial management. Educational Background: Bachelor's degree in Accounting, Finance, or a related field. Personal Qualities: Highly organized with attention to detail, Proactive and able to work independently, Effective communicator with strong written and verbal skills. Technical Skills: o Proficient in Microsoft Office (particularly Excel), Familiarity with accounting software (e.g., SAP, QuickBooks, Xero) is preferred, Experience with programming or data analysis tools (e.g., Python, SQL) is a plus.
