Job Brief:
Are you an experienced administrative and accounts professional with a knack for organization, multitasking, and client communication? If so, you might be the one we're looking for!
We are seeking an Accounts/Admin Assistant to support the client's CEO in efficiently managing administrative tasks, scheduling, and accounts. The company is into Videography, Photography for various events.
Key Responsibilities:
Administrative Support
• Schedule and confirm meetings on behalf of the CEO, arranging all details in advance.
• Coordinate with clients and internal teams to send meeting details, agendas, and reminders.
• Oversee general office administration, including filing, document management, and supplies inventory.
• Prepare and edit presentations, reports, and documents as needed by the CEO.
• Assist in event planning and company activities, managing logistics and coordination.
• Act as the primary contact between the CEO and other departments for smooth information flow.
Accounts Management
• Generate and issue client invoices accurately and on time.
• Track outstanding payments, follow up with clients, and ensure timely collections.
• Support the CEO with basic bookkeeping, maintaining accurate records.
• Assist in preparing monthly financial reports and summaries for management review .
Client Coordination
• Serve as a liaison between the CEO and clients, ensuring clear and timely communication.
• Handle client inquiries and direct them to the appropriate departments or personnel.
• Prepare and send out meeting notes, follow-up emails, and other communications on behalf of the CEO.
Documentation and Compliance
• Maintain up-to-date records for client information, contracts, and business documentation.
• Ensure that all administrative tasks comply with company policies and legal standards.
Required Qualification / Experience / Skills:
• Bachelor's degree in Business Administration, Accounting, or a related field (preferred).
• A minimum of 3 years of experience in an administrative or accounts role is required
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with accounting software such as QuickBooks is advantageous.
• Strong communication skills, attention to detail, and time-management abilities.
• Experience in the UAE and proficiency in accounting software and financial reporting is preferred.
Job Location: Dubai
Type of Employment: Permanent / Full-time with flexibility to support after-hours or weekend events if necessary.
Salary: 3.5K to 5K/ Month
